Individual Exam Registration 1|Page Process Flow: from Training to applying for Examination  The BCBF Module is an Integrated Platform which has been developed keeping in view convenience of Agencies so that they can undertake all requisite activities concerning BCBF training and applying for the said examination.  Every Agency will be required to have 2 logins, the Agency login and the Centre login. The purpose of providing with 2 logins is to facilitate Centralized / Decentralized operations as well as monitoring and approval of the batches/faculties added by the Centres.  A brief overview of the process flow from Agency registration to declaration of Results is indicated in the diagram below: 2|Page Agency Registration  In order to gain access to the BCBF module and to start training / examination activities on the module, every Training Institute (Agency) needs to get Registered with IIBF on the BCBF module.  Upon receipt of a communication from the Training Institute/Bank, a link will be provided by IIBF which has to be filled by the Agency giving the required information.  IIBF will provide the concerned Agency with the login credentials for the Agency login.  Sample form: - 3|Page About Agency and Centre logins  The Agency login is to be used for the purpose of supervision and for creating centres, approving faculty / training batch created by Centres.  The Centre login is to be used for adding faculty, creating training batch and adding candidates to the training batch, registering candidates for the examination after completion of mandated training etc.  An Agency can create more than one Centre depending on its requirement required. But every Agency must create and get approval for at least one centre for starting the training batch. Agency login: Creating Centre(s)  In the Agency login, an Agency can create a Centre as per its requirement. Post approval a Centre will be provided with its unique login.  Operations can be managed by each Centre independently with the Agency having access to all information regarding its’ Centre(s).  Each Centre can use its login to register Faculties, create Training Batches, register Candidates for Training and enroll candidates for Examination, etc. 1. To create a Centre, under Centre Master tab select ‘Add Centre’: - 4|Page  Upon selecting the ‘Add Centre’ option, the following form is to be filled: - 5|Page 2. Centre Master Tab: Post approval the Centre information can be viewed on the Agency login as under: - i. List view: - Under ‘Action’ User can use the 3 Icons respectively to: 1.Change Password 2. View Centre details 3. Edit Centre details. With Reference to the above Figure: User can get an overview of Centre information like: a) Centre Name: User can view centre name. b) Date of Addition: User can view date of addition of the centre. c) City: User can view city the centre is based in. d) State: User can view state the centre is based in. e) Contact Person Name: User can view name of the contact person of that centre. f) User Id: User can view unique user id of centre. g) Password: User can view password. h) Status: User can view status of centre, whether it is with status ‘Active’, ‘Inactive’, ‘Re-submitted’ or ‘Under Review’. i) Action: User can view, edit the details and change password of centre. Result User can get an Overview of Centre information for all Centres created by it. 6|Page ii. Detailed view: - With Reference to the above Figure: User can view complete Centre details and can assign Active or Inactive status to that Centre. User can also view logs of every activity related to that Centre. Result User can view profile of centre and change faculty status. 7|Page Centre login:  Centre can add faculties satisfying the eligibility criteria. Faculties added by Centre is to be approved by the Agency. 1. Adding Faculty: To register a Faculty on the Module, the Centre has to go to the Faculty Master tab and select the ‘Add Faculty’ option. 8|Page  Upon selecting the ‘Add Faculty’ option, the following form is to be filled: - 9|Page  After submitting the faculty details as required in the faculty form, the faculty needs to be Approved by User in Agency login after which a particular faculty can be allotted to a maximum of two training batches concurrently. 2. Approving Faculty: To approve faculty, User needs to enter the Agency login and select Faculty Master as shown below: - 10 | P a g e  Then User needs to select the ‘view’ icon as encircled above. Upon selecting ‘view’ option, the below screen appears wherein there are the options to assign Active / Inactive status to the faculty. 11 | P a g e 3. Faculty Master Tab: Post approval (active status), name of the approved faculty will appear as shown below in the Centre login: - i. List view: - Under ‘Action’ User can use the 2 Icons respectively to: 1. View Faculty details 2. Edit Faculty details. 12 | P a g e ii. Detailed view: - 13 | P a g e 4. Add Training Batch Form: -  To start imparting training, a Centre needs to create Training Batches and get them Approved by Agency.  Each Centre needs to create batches as per its requirements and submit the same to the Agency for Approval.  To create a Batch, in Centre login, select Training Batches Tab and then click on the ‘Add Batch’ option. 14 | P a g e  The following information needs to be filled in the form: - 15 | P a g e  Then the training batch created is to be sent for final Approval to the Agency by selecting the encircled option: - 5. Training Batch to be Approved by Agency: -  The batch under final review in the Agency Login needs to be Approved by the Agency: - 16 | P a g e In case of error in training schedule, Agency can select ‘Batch Error’ option and mention the error found. Also, the batch can be Rejected if the Agency does not intend to approve the batch. In addition, the option of ‘Submit Batch Communication’ can be used to convey any general information relating to the concerned Batch. 17 | P a g e 6. Training Batches Master: - i. Add Candidate Form: -  Candidates are to be added to a batch (by the Centre) after it has been Approved i.e., given ‘Go-Ahead’ status by Agency.  Click on option to ‘Add Candidate’ under ‘Training Batches’ tab: - Add Candidates i. Basic Details: Basic information of the candidate such as name, contact no. and email id needs to be filled by the centre latest by end of Day 1 of training. 20 | P a g e ii. Other Details: Documents and identity proof no., photo, signature, identity card etc. need to be uploaded on the module latest by end of day 3 of training. Please click on the below mentioned link to refer to the photo guidelines before uploading the photo/signature/id proof to avoid rejection at later stage. https://iibf.esdsconnect.com/uploads/Guideline_for_photo_image_loading_final.pdf  Each candidate added to a particular Training Batch is assigned a unique Training Id using which the Candidate can use to join in the training for identification, along with his name. 21 | P a g e 8. All Candidates: -  Details of Candidates (Batch-wise) shall be visible under the ‘All Candidates’ tab as shown below: - Candidate information in detailed view 22 | P a g e 9. Batch Applicant Checklist: -  Details uploaded of added Candidates for each Approved batch will be visible under the ‘Batch Applicant Checklist’.  This feature will be helpful for Agencies/Centres to verify if the required details and documents for all registered Candidates have been uploaded correctly on the Module.  Batch Applicant Checklist will be available in both the Agency login as well as in the login of the concerned Centre. 23 | P a g e Applying for Examination Candidates can apply for the BC-BF examinations through one of the following ways: a) Bulk Registration of multiple candidates and, b) Individual Registration by a candidate. Examinations are conducted through 3 different modes as listed below Monthly Examination held At various CSC centers. Hybrid Mode at centers allotted by IIBF List of centres provided on (Examinations held at (Individual and Bulk our website (Individual centers managed by the Registrations) Registration only) Banks) Once a candidate successfully completes the training program, he is eligible to apply for examination. The bulk registration can be done through the BCBF module itself. The steps for bulk registrations is as follows: Following manual is on applying for BCBF advanced examination. The same process can be applied for BCBF basic examination as well. 24 | P a g e On clicking the option as indicated in the image, the list of all candidates for the completed training batches shall be displayed after the end of training period. Thereafter click on the action symbol of the list of candidates you wish to register for the examination. Select the examination medium and centre name as required from the drop down available as below: 25 | P a g e All candidates whose centre name and medium have been updated shall be eligible to be selected via a checkbox to the left of their names. Once the checkboxes are selected, click on ‘make Proforma invoice’. After clicking on ‘make Proforma invoice’, the following page is shown. Agency has to verify the fee amount and candidate count then click on generate Proforma invoice. 26 | P a g e Following pop up need to be checked and if okay, click on submit. Thereafter, go to Transaction Details, click on the ₹ symbol, and update the NEFT/RTGS Reference no (UTR), payment date, upload payment slip and click on submit. 27 | P a g e 28 | P a g e Once payment details are updated, the transaction will be reflected at IIBF’s end for approval. To approve the transaction, Bank/Agency has to inform with IIBF with the payment details on mail. The details shall be verified at IIBF’s end and if found in order, the transaction shall be approved. Once approved, the agency/centre can download the invoice/transaction receipt from the module under transaction details. In case of Hybrid mode of examinations, there are following changes to the above manual: 1) The centre is required to select venue address, exam time and exam date as well in addition to the centre name and medium of examination of the candidate. 29 | P a g e 2) The centre can also download the admit letter immediately after IIBF approval. In case of individual registration through CSC, candidates have to visit the CSC centre (address mentioned in IIBF Website) and apply for the exam at the centre. For Individual Registrations through IIBF website, please follow the below steps: Click on the indicated option of BC/BF Click on Apply for Exam In case the candidate is applying for the 1st time, he/she has to enter his unique Training ID, received at the time of registering for the Training Batch. For subsequent attempts, the unique registration number of the candidate may also be used for applying to the examination. On entering the Training ID or Registration Number as mentioned above, the details of the candidate will appear.
