Study Notes
CST 1340 - Information in Organisations
- CST 1340 is a module about information in organisations.
- Attendance is monitored. Students need to attend at least 75% of lectures and labs.
- Students with less than 75% attendance will fail the module and receive a grade X. Grade X prevents resitting the module.
Absence Policy
- If a student is unable to attend a lab session due to unforeseen circumstances, they must contact their instructor via email, providing the reason, the date and time of absence, and their student number.
- For prolonged absences due to exceptional circumstances, contact the module leader immediately, and submit a deferral request as soon as possible.

Module Content
-
The module investigates efficient and effective ways of managing information in organisations. This includes:
- What data and information needs to be stored?
- How to store data?
- How to model relationships between data?
- How to manage data?
- How to query data to retrieve information?
- How to present information?
-
Mini-world use case: Middlesex University recruits 10,000 students yearly. Each student can enroll in multiple modules, and each module is led by a lecturer. Information to store includes student ID, name, date of birth, program, staff details, module information, program details, school details, and department details.
Managing Information
- File-based approach: Early attempts to computerize manual filing. Each program manages its own data, leading to potential issues as described below.
- Database approach: A shared collection of logically related data, designed to meet organisational information needs. This is more manageable than individual program files, with the help of Database Management Systems (DBMS).
Problems with File-Based Approach
- Isolation of data: Data is separated, making it difficult to access data across different programs. This makes it challenging to answer complex questions like if a customer has ordered more than 10 items and bought more than 5.
- Duplication of data: Redundant storage of data across different programs. This wastes time, money, and storage space.
- Incompatible file formats: File structures are embedded into application programs, leading to compatibility issues. Query results and reports are difficult to produce across programs with varying formats.
- Fixed queries: queries or reports that can be produced are limited by the way the data is structured in the files.
Database Management System (DBMS) overview
- DBMS is software that enables users to define, create, maintain, and control access to a database.
- DBMS software and data make up the database system.
