HOFFMAN ESTATES FIRE DEPARTMENT STANDARD OPERATING GUIDELINES SOG Category & Identification Number: EFFECTIVE DATE: OPERATIONAL GUIDELINES – 004 January 1, 2022 NIMS COMPLIANT SOG Title: Village of Hoffman Estates Lock Box System Revision: 4 APPROVED BY: NUMBER OF PAGES: Re-evaluation Date: Alan Wax January 1, 2024 Fire Chief 2 PURPOSE To establish a master lock box system. This system is offered to all commercial, industrial, educational and apartment complex buildings. It enables the Fire Department to gain entry when dispatched to a fire emergency. The use of the lock box key will eliminate forcible entry to these structures. Fire Department personnel will have the only access to the keys. DEFINITIONS POLICY A. Lock Box: The lock box will be installed at a designated place on each structure. It will contain keys that are of significance in gaining entry and the resetting of the alarm systems. B. Lock Box Key: Keys will be numbered, registered and distributed. These keys will open all lock boxes wherever they are installed within the Village. C. Designation of Lock Boxes: These boxes will be placed in proximity to the annunciator board at the front of each structure unless otherwise designated. D. Lock Box List: Each hydrant book lists the locations of all buildings within the Village which have a lock box. E. Assignment of Keys: Keys will be assigned at the discretion of the Fire Chief. RESPONSIBILITIES A. All HEFD apparatus have been assigned a numbered, registered key. These keys will 1 be secured in either an electronic safe or a combination lock box located in each vehicle and will be supervised by the appropriate Shift and Company Officers who shall,verify each day that the keys are present. The Administrative Support Division Head will distribute a monthly lock box key inventory form. The Company Officer will verify the presence of all lock-box keys within his station and sign the inventory form. B. Each Officer or Firefighter assigned the key shall have the key in-service at all times and report immediately to his immediate supervisor of the absence of this key. All Department members are responsible to know the locations of lock boxes throughout the Village and to use these lock boxes when-ever prudent for gaining access into a building in order to minimize damage to the structure. C. The Shift Commander shall report immediately the loss of the key to the Deputy Chief of Operations. He shall also conduct a complete investigation of the loss of the key and forward a written report of his findings to the Deputy Chief of Operations before the end of his tour of duty.
