Those who are thinking of joining the Tour Guiding profession are often driven by the reality that this is one way of “traveling for free and getting paid.” While this is true, there is a lot more to it. Tour guiding is public speaking; it requires the guts to face people and talk about something of importance. Speaking in front of a group of professionals, with all the facts at hand, the speaker/ tour guide should do it interestingly and entertain to get the needed rapport from the listeners/guests. How to encounter nervousness will always be there. Some tour guides are caught in the act of nervousness with a trembling voice and hands, their palms sweat, their upper lip twitching annoyingly. Surveys have reported that public speaking is what people fear most- more than fear of heights, spiders, confined spaces and even adventurous activities like skywalking, canyoneering, white-water rafting, sky-diving and doing the zip line. A Tour Guide is aperson who leads groups of people around a town, museum, or another tourist venue. The tour guide provides a commentary on the features and history of the location; the tours can be from as little as 10-15 minutes to extended periods over many days. Considerable importance is placed on the guide’s knowledge of local stories, history and culture depending on the location of the tour. 5 Other tour companies refer commentary as tour commentary, narration, guide speak or spiel. It contains the vital, basic information about a place to include the following: Short profile of the place Historical background Origin of the name (historical or legendary) Basic facts Capital Historical edifices Land area and population Cultural sites/attractions Location and distance from the city center Customs and traditions People and culture Rituals and tribal wears Local dishes Arts and crafts Local products Natural attractions Man-made attractions Other significant special interests TYPES OF COMMENTARY The Tour Commentary A tour commentary is a narrative used by a tour guide to describe a site and provide information about various aspects of a country to tourists while on a tour. A good tour commentary should provide much relevant information. It helps travelers to internalize the information. Tour guides can also provide a summary of what you have commentated as it contributes to creating an impact. There are four types of commentary 1. Required. Memorized script usually provided by a company for its guides. Deviations from the required commentary are highly discouraged, if 6 not prohibited by the company. 2. Informative. Sometimes referred to as interpretation, an informative commentary highlights the guide’s role as an educator. 3. Requested. When requested or asked, tour guide shall provide commentary to address particular needs and inquiries of the tourists. In this regard, it is important for tour guides to know their assigned city or location very well. 4. Optional. Highlight the guide’s engaging and entertaining traits. An optional commentary allows for the tour guide’s deeper involvement in conversation and analysis. In this way, the tourists can have a better appreciation of the tour and the attraction. SELECTION OF COMMENTARY MATERIAL A tour commentary is a narrative used by a tour guide to describe a site and provide information about various aspects of a country to tourists while on a tour. They are generally referred to as the “guide’s speak” and include general information and local stories about attractions or sites, events and personalities in a country. PARTS OF A TOUR COMMENTARY What are the contents of a tour Commentary? A tour guide should prepare the tour commentary before beginning a tour and it is composed of five main parts: 1. The Introduction 2. The Body 3. The Reaction 7 4. The Reminders 5. The Closing A. The Introduction- greet the tour participants, introduce yourself (and the driver) and get to know the members of the group. Provide an overview of the tour schedule and what to expect during the tour. Provide general information about the country and the city as well. B. The Body- upon arriving at a particular tourists attraction, describe the attraction and its relevance, what to see or do there, how long the group will stay there and the time everybody is expected to be back at a specific meeting point. Do this for all other attractions. C. The Reaction- give the tour participants a chance to ask questions before setting them free. Allow for question and answer during the tour. Encourage tour participants to voice out their reactions after the tour. D. The Reminders- make sure that the tour participants take care of themselves and their belongings and respect each other’s time and space. Always remind them to be on time and protect themselves from various elements in the environment that may harm them. E. The Closing- end the tour by thanking the tour participants for joining the tour and whenever possible, ask them to join the tour again with their friends and other tours that the company offers. Some companies request guests to fill out a feedback sheet at this point, while others provide simple tokens of gratitude like local items or group photos. STEPS IN PREPARING TOUR COMMENTARIES 1. Get a map of the tourist site and plot the location of all the tourist attractions that the tour group is going to visit. 2. Plot locations of toilets, food stores, souvenirs shops, security office and clinics. 3. Identify a starting point and a meet-up point at the end of the tour. 4. Think of a logical arrangement for visiting the tourist attractions such that you will visit the closest one to the starting point first and then work your way through until you reach the meet-up point making sure that no effort and time are wasted because of crisscrossing paths and backtracking. PREPARING A TOUR COMMENTARY How does a tour guide prepare a tour commentary? The procedure for preparing a commentary is as follows: ⚫ Establish the needs and interests of the group. 8 ⚫ Confirm the itinerary ⚫ Access sources of information about sites to be visited ⚫ Research on the facts about the attractions to be visited ⚫ Prepare the text of the tour commentary based on the established facts. PLANNING THE DELIVERY OF A COMMENTARY The following guideline should be ensured: ⚫ Know the contents of your tour commentary backwards and forward but do not memorize in verbatim. ⚫ Distractions or interruptions including questions from the audience will leave you floundering. ⚫ Learn the concepts and meanings exhaustively and deliver them with an inflection that reflects both enthusiasm and authority. ⚫ This helps you answer any questions and segue back into your spiel. ⚫ The way you deliver the commentary can be just as important as what you say, take your time to work on it. PROJECT THE RIGHT BODY LANGUAGE ⚫ Stand straight to convey confidence in your product as you pitch your tour commentary. ⚫ Maintain confidence, yet an easy going body language so you appear approachable but not aggressive ⚫ Take your cues from the tourists to see if your body language is mirrored or if you need to tone it down. BUILD NATURAL RAPPORT WITH YOUR AUDIENCE ⚫ Whether a single person or a group, play attention to their reactions, especially their facial expressions and body language as you deliver the commentary. ⚫ Watch for signs of boredom or discomfort to adjust your commentary accordingly e.g. yawning, fidgeting and checking the time. ⚫ Recapture attention by interrupting the spiel to relate to a short personal experience or by moving about to focus their attention to you. ⚫ If you are extremely confident and talking to one person, you can grasp his arm or shoulder while making an important point as if to take him into your confidence. COMPONENTS OF A GOOD TOUR COMMENTARY 1. Parts of a Good Tour Commentary One of the hard skills or technical skills required by tour guides is to develop or write a good tour commentary. With training, research and time, I believe that all of us can write a good tour commentary. 9 2. Promote your country A good tour commentary must promote your country as a top holiday destination. As a tour guide, you are your country’s Ambassador. You are the first point of contact and a local friend. Recommend places that are not on the itinerary that is unique and localised attractions. You also introduce historical monuments, culture and heritage sites. Aim to create a memorable experience for travellers. 3. Educational But Not Boring Another component of a good tour commentary is that it should provide an opportunity for tourists to learn valuable histroy, culture and lifestyle of your country. A good commentary will make visitors feel as if they see the historical events from his own eyes. Tour guides can ask tourists to imagine what was happening in the past and provide photos as visual aids. You can also ask travellers to compare what occured in the past to present day activities. 4. Informative But Not Overwhelming A good tour commentary should provide much relevant information. Tour guides can help tourists to absorb the information by asking questions after you deliver the commentary. It helps travellers to internalisr the information. Tour guides can also provide a summary of what you have commentated as it contributes to creating an impact. 5. Good stories Storytelling is an important part of a good tour commentary. A tour guide’s job is to communicate information and provide details of the place to travellers. However, the above is more of narration or adressing a group. A good tour commentary is filled with good stories. Stories can include key events which have taken places in the area, myths, legends or even personal stories and real-life experiences. A scripted commentary is a prepared talk about identified topics of interest to a group of tour group members. The scripted commentary may be prepared by the agency and provided for use, or there may be a need to develop a scripted commentary for a certain tour, group and to meet special requests/needs of a tour. A scripted commentary should be thought of as a guide about what needs to be said rather than a complete list of everything that needs to be said during a tour. There will always be a need to provide some unscripted commentary to supplement whatever scripted commentary is prepared. Unscripted commentary refers to the situation where information is provided to the tour throughout the tour but reference is not made to a script when doing so. 10 The following is a guide for preparing a scripted commentary: 1. Writing a commentary takes time- it cannot be done on-the- spot and rarely on- the day it is required. Writing a commentary can take weeks. 2. Research the tour-knowledge is a critical underpinning element of every effective and engaging commentary: Research is required about what the visitors want, need and/or prefer to hear about. Research is essential about the site/location/venue where the tour will be delivered to obtain statistics (people just love figures as part of a commentary- height of things, number of things, weight of things, temperatures, size/dimensions), history details about the facilities, interesting facts about the area or venue, names of owners, and of course, loads of facts/details about anything which is the main focus of the tour. 3. Check the advertising undertaken by the tour company, the site or the venue to identify topics promoted to visitors-and then ensure these are covered by the commentary in order to meet expectations and advertised promises. 4. Know the route- the commentary should describe and provide information about the venue/site in general but more so on what is visible on the tour itself. This means a need to cover in some detail all buildings, natural and built attractions, events as the tour sees them/passes them. 5. The scripting process should involve others to: contribute ideas, provide information facts and figures, bounce ideas off, and to practice on. 6. Experience some other commentaries-before starting to develop the commentary to learn from: what they do/say, how they do and say it, when they do and say things, also the amount of commentary they provide. 7. Avoid personal opinions, thoughts, beliefs and prejudices-a commentary is not the place to air personal views. 8. Avoid inappropriate language-such as: swearing/bad language racist terms gender bias. 9. Prepare a draft-and then revise it time and time again until it has been polished to the required standard. 10. “Speak” the commentary when trialing it-it must be spoken aloud to get a proper fuel of it. Simply reading it in the mind will not do it. Read it out loud to others for their feedback/comment. You can also record and listen to it and self-critique. 11. Write the script from the guest/visitor perspective- for example if at the front of a bus or tractor train and facing backwards towards the visitors, the landmarks must be identified from their view point. For example, do not say “on my right is a fine example of…”, instead say ‘ On your left”. 11 12. Use simple, plain language-this is not to infer a need to be condescending but highlights the need to keep things simple and easy to understand. 13. Use simple sentences, not long ones and use simple words and not complex ones. The easier a commentary is for people to understand, the more they will enjoy it, the more they will learn from it, the more they will engage with the tour and the more satisfaction they will get from the tour. 14. Revise the scripted commentary- as required when things change to keep it current. 15. Practice the commentary before using/delivering it. Try to read it in-situ, which means walking/driving the tour route and commentating to align with points of interest and items mentioned in the commentary. The commentary should reflect the nature of the tour- for example tour focusing on nature may be expansive and emphasize grandeur and awesome natural spectacle. A tour of prison, museum of war-related tour would take a vastly different approach and be more restrained, respectful and serious. SAMPLE TOUR COMMENTARY OF CITY TOUR Tour Commentary of City Tour (on Board) Good morning everybody. Have you all been here? It’s is… person, right? Now, please make your seat comfortable and if you have some questions or some problems when I’m speaking or during our tour, please let me know, don’t hesitate. Well, everybody, let me introduce our team, this is Mr. Angga as our driver and this is Mr. Yohan as our co driver and I’m Dian, your tour guide. Before we start our tour, let’s pray together based on your belief. Pray begin… finish. (ok, pak sekarang bisa berangkat) Everybody, have you ever visited Indonesia before? Today you will know more about Indonesia because I will give you some information about Indonesia especially city of Cirebon. Indonesia is located between two continent; Asia and Australia continents and between 2 oceans, they are Hindia and Pacific Ocean. Indonesia has many islands It has around 17.000 island which has name and around 25.000 island which hasn’t had name. Indonesia has 5 large islands, they are Borneo, Sumatra, Sulawesi, Java and Papua island. And now we are in Java Island, exactly in West Java province. 12 West java is located among Banten, Jakarta and Central Java province. The capital city of West Java is Bandung. In West Java, there are 26 regencies and municipalities. Two of them are Cirebon regencies and Cirebon municipalities. Cirebon is located in the border area between West Java and Central Java. In West Java, Cirebon is bordered by Kuningan, Majalengka, and Indramayu regency. In Central Java, it’s bordered by Brebes regency. Everybody, like the other countries in Indonesia which located in equator line, Cirebon is tropical area, so Cirebon has 2 seasons. They are dry and rainy season. Rainy season starts from September until March and dry season starts from April until August. And now it is rainy season, so the people usually take umbrella, raincoat, or jacket if they want to go out. But because change of climate so the season can’t be predicted. So what do you feel hot or cool? Everybody word “Cirebon” is derived from Ci and Rebon. Ci means place or location and rebon means small shrimp, so Cirebon is called as Kota Udang or the city of shrimp. And because the fact, Cirebon is city where we can find easily shrimps any places and some product of food made of shrimp as the main ingredient. The Other version said Cirebon is derived from the word “Caruban” which means Campuran or mixed. Because, a long time ago Cirebon was big sea port and some people from other islands come to Cirebon for trading. Because of that, their culture was mixed and assimilated with Cirebon people. So Cirebon has some tribes and ethnic such as Javanese, Sundanese and Cirebon tribe, Middle East ethnic, Chinese, India and others. That’s why Cirebon is called Caruban or Campuran. Some people also said in the past time the name of Cirebon is Grage which come from Negara Gede. It’s mean a big country. Because in the past, Cirebon wasn’t a city or a regency but an Islamic Kingdom which leaded by Sultan or moslem king. But Cirebon people usually call Sunan. The first king who ruled is Raden Walangsungsang or Pangeran Cakrabuana. Then, he was continued by his cousin namely Syekh Syarif Hidayatullah or Sunan Gunung Jati. Sunan Gunung Jati is one of Walisongo from West Java. Do you know Walisongo? Walisongo is derived from 2 word, Wali and Songo. Wali means people who spread Islam in Java Island and Songo is from Javanese language, it means nine. So Walisongo is nine people who spread Islam in Java Island. But now Cirebon is not a kingdom. Cirebon is ruled by mayor and regent, because Cirebon is regency or municipality. Everybody, the population of Cirebon is around 3 million people in regency and around 3 hundred thousand in municipality. Cirebon people have own culture and 13 custom which may be different from the other countries. The culture and custom of Cirebon is influenced by geography, demography, and their region, belief, way of life, tribes, history which brought and developed by the local people and visitors. The culture and custom of Cirebon is different from the other regencies in West Java even though Cirebon is a part of West Java, but in certain things Cirebon also has the same culture with the other cities or regencies in West Java. Cirebon also has the same culture and custom with the people in Central Java, because Cirebon is located near Central Java. For example, in language, there are some words which same with Sunda language and there are some words which different from Sunda language. Bahasa Cirebon also has some same words with Javanese and there are some words are different from Javanese. So that Cirebon language is not either Sundanese or Javanese. Cirebon has own language, that is bahasa Cirebon or Cirebon language. Example: Priben kabare, it means how are you. It is bahasa Cirebon which different from Javanese and Sundanese. In Sundanese, Priben kabare is kumaha damang and in Javanese it is piye. This word is usually used, when they meet the familiar people, the answer is waras. Well, I would like to teach you to say priben kabare, let’s say together, priben kabare, that’s good. Ok, may I know your name mam, Lisa, ok Ms Lisa, say priben kabare, ok good, very well? Let’s give applause to Ms Lisa. Thank you. Cirebon also has some cultures, like traditional ceremony and arts, such as Panjang Jimat, Nadran, Sedekah Bumi, Topeng Dance and the others. The most famous one is Topeng Dance. Topeng Dance is a traditional dance from Cirebon, it is Topeng Dance, because the dancer uses mask or in Indoensia it is called Topeng. Topeng Cirebon has five characters, there are Panji, Samba, Rumyang, Tumenggung, and Kelana. Each character tells us about cycle of human life. Batik Cirebon is different from the other batiks in Indonesia Batik cirebon has many patterns such as wadasan, singa barong, mega mendung and the others. The most famous one is Mega Mendung. This pattern is like cloud, it also has relation with history of Cirebon, so this pattern is very famous and different from the other batiks in Indonesia. It is called Angkot or Angkutan Kota (Public Transportation in English). Angkot has special code based on the route. The tariff is around 2.000-5.000 depend of the distance. Cirebon also has the other traditional transportation. It is called Becak or pedicab. Becak has 3 wheels and the capacity of becak is for 2 person. Becak doesn’t make pollution because becak is moved by human. The tariff of becak is around 5.000-15.000 based on the distance. Alright, everybody.
