Foundation Management

Job Requisition
- The process begins with creating, approving, and posting job requisitions.

Recruiting Process for Non-Executive
- Begins with the hiring manager initiating a job requisition from the Position Org Chart.
- HR reviews/updates the content.
- The endoser clicks Send to Approver, which triggers an email notifying them for job requisition approval.
- Once approver, a Review is conducted with a content check, and Approval is confirmed with ‘Click Approve Job Requisition’.
- Email notification sent to Recruiter.
- Recruiter posts it in job postings.
- Hiring manager reviews the applicant in the system, and provides an update with a comment on recommendations to move or reject status.
- Drug and medical checks are handled offline by HRSS, and security vetting reports are uploaded into the system.
- A rejection of a candidate can occur at screening, interview, and background check stages which requires action to disqualify process to continue.
- Once the candidate is in Hired status, the Recruiter closes the job requisition
Recruiting Process for Executive
- Follows a similar series of steps to the non-executive process.
- Endorsers include multiple parties, and a CEO is the approver.
HRBF Role in Recruiting
- HRBF reviews and endorses job requisitions.
- Approval consistency streamlines the recruitment process for Management/Racing Trainees.
- For Executive positions, endorsement involves the Executive director and HR Business Partner.
- The HRBF updates the recruiter's name in the job requisition for accountability.
- Hiring manager must delete any inaccurate position HRBF must update information with HRBF endorsing created requisition.
HRBF Team - RACI
- Hiring Manager: Responsible for creating and approving job requisition
- Recruiter: Responsible for the post job requisition
- HRBF Approver: Aids in creating and approving job requisition
HRBF Approval Process
- Access the approval interface, scroll down to Requisition Team Section to find the Recruiter section.
- HRBF user, who's been designated the endorser can locate Approvals on the left bottom side of the home page and click Job Requisition.
- To navigate the process another way, is to click the to-do list in the top right.
- If the requisition has any issues it may be sent to a proposer to update.
HRBF Actions After Update
- Update the additional test status of a candidate in the system.
- Triggering of manual emails for HRSS for test or VISA requirements.
- Recruitment to move the applicant to being ready to hire.
HRBF Approve of Executive
- Access the approval interface, and note how many documents can be added to the application with an overview of the process.
- Save, close without saving if issues are recognized.
- The email will notify approvers, adding comments will further explain what it to be reviewed next.
- The cancel and Return to Form will avoid approval.
The Onboarding Process
- Manage Day 1 activities including reminders to the new hire, and the onboarding process.
- Cancel onboarding process where necessary.
3. 1.1 Conduct Preboarding RACI
- Select employee profile rehire and sync new hires which is a HRSS team
- The enquires related to start date change and cancel onboard is by the HRSS team and Hiring Manager
- Collection of personal Data and completing other tasks is a New Hire Activity
3.1.1 High Level Preboarding
- Ensure there is proper data collection via onboarding portals and pending hires are dealt with efficiently
3.1.2.A High Level Day 1 Activities - Executive
- Monitor the onboarding to guarantee all requirements have been met, including necessary document review.
3.1.3 High Level Day 1 Activities - Non Executive
- Complete the appropriate documents, supplement documentation by utilizing Employee Profiles.

- A meet to discuss expectations occurs for onboarding in Qualtrics and to stay in network with support from learning teams.
