  • Hiring manager reviews the applicant in the system, and provides an update with a comment on recommendations to move or reject status.
  • Drug and medical checks are handled offline by HRSS, and security vetting reports are uploaded into the system.
  • A rejection of a candidate can occur at screening, interview, and background check stages which requires action to disqualify process to continue.
  • Once the candidate is in Hired status, the Recruiter closes the job requisition

Recruiting Process for Executive

  • Follows a similar series of steps to the non-executive process.
  • Endorsers include multiple parties, and a CEO is the approver.

HRBF Role in Recruiting

  • HRBF reviews and endorses job requisitions.
  • Approval consistency streamlines the recruitment process for Management/Racing Trainees.
  • For Executive positions, endorsement involves the Executive director and HR Business Partner.

HRBF Approval Process

  • Access the approval interface, scroll down to Requisition Team Section to find the Recruiter section.
  • HRBF user, who's been designated the endorser can locate Approvals on the left bottom side of the home page and click Job Requisition.
  • To navigate the process another way, is to click the to-do list in the top right.
  • If the requisition has any issues it may be sent to a proposer to update.

HRBF Actions After Update

  • Update the additional test status of a candidate in the system.
  • Triggering of manual emails for HRSS for test or VISA requirements.
  • Recruitment to move the applicant to being ready to hire.

HRBF Approve of Executive

  • Access the approval interface, and note how many documents can be added to the application with an overview of the process.
  • Save, close without saving if issues are recognized.
  • The email will notify approvers, adding comments will further explain what it to be reviewed next.
  • The cancel and Return to Form will avoid approval.

The Onboarding Process

  • Manage Day 1 activities including reminders to the new hire, and the onboarding process.
  • Cancel onboarding process where necessary.

  • The enquires related to start date change and cancel onboard is by the HRSS team and Hiring Manager
