Agenda

  • The HRSS executive training includes discussion of:
  • Overall Onboarding, Preboarding, Personnel Management, Hire / Rehire, and Termination Management.

Processes Covered

  • The training covers processes within Employee Central, Recruiting, and Onboarding modules of SuccessFactors.
  • The lifecycle spans from Hire to Retire.

Recruiting

  • The recruiting process begins with creating a job requisition and continues to assessing candidate
  • Security vetting and compensation alignment are important steps.
  • The process concludes with onboarding and job requisition management.

Pre-employment Screening

  • EMSS downloads the signed security vetting document and sends it to the S&I team
  • Pre-employment screening status is updated within the system.
  • Reports are uploaded and generated for candidate review

Perform Pre-Hire Due Diligence

  • After the EMSS confirms work visa status, the Work Visa Status field is manually updated.
  • Update Candidate status when Work Visa is completed.

Onboarding for Executives

  • Rehire Check (Rehire cases only), Review new hire data, Personal data collection and new hire tasks are essential for onboarding executives.
  • The final parts consist of:
  • A final review, a start date, and a cancellation if needed.
  • Concluding with a survey or learning courses.

Steps for EMSS

  • Rehire Check is available on rehire cases, it starts with "Employment Profile Selection" to determine the candidate's eligibility.
  • Review New Hire, and start the "Review New Hire Data", reviewing all applicable sections and click "Submit".
  • After completing the confirmation, click "Review Completed.
  • The tasks' content are filled in and submitted.
  • Search for Recruit Date Correction and proceed
  • Select employee for date correction and save
  • You can then Submit, and wait for approver
  • The onboarding and new hire are cancelled.
  • You start by going to "Onboarding" from main menu.

Exceptional Rehire Cases

  • Choose "New Employment",
  • The onboarding task must be initiated for a candidate from Recruiting
  • The task is assigned to the EMSS team only if the new hire is indentified as a Rehire by Pegasus platform

Review of New Hire Data

  • After onboarding for external hires and employee selection, it is assigned to EMSS
  • Then EMSS will receive an email that new hire data can be reviewed.
  • Review the biographical information, personal information etc

Reviewing & Submitting the new data

  • In review new Hire data, EMSS accesses info in Recruiting to see sections regarding personal data and employment data
  • EMSS clicks the "Continue" until all data is reviewed
  • They click blue Submit button to enter, and a pop up will appear confirming the date.

Updating Security Vetting Status

  • Security Vetting] EMSS to download file, and you send downloaded file to S&I from Candidate Application
  • If pre-employment screening is system to check, this file would need to be upload applicable
  • EMSS to generate report for review candidate, to complete pre-employment screening status

Tasks and Action for Hiring Manager

  • Complete these task by navigating to the home page
  • Look for complete New Recruit Tasks from Homepage list.

Start date change

  • Start Date can be updated in Recruitment in the initial stage.
  • The updates happen in EC, completed once onboarding is completed

Cancel Onboarding

  • Cancellation occurs when a new hire rejects the employment or if company choses to retract their offer.
  • When cancelling is done, all processes will have effectively stop and related tasks in SuccessFactors are all ceased.

Accessing and action for hiring manager tasks

  • Acess task the Onboarding module from the main menu for example "write welcome message"

Personnel Changes

  • Managing this with HRSS' Pegasus platform includes tasks such as hire/rehire, promoting staff, transfers and contract changes

Initiate New Hire EC

  • Maintain basic data, name and national ID details.

Adding Photo, and Address

  • Maintain the photo, add and/or upload the address.

Maintain Emergency contact & Dependents

  • Maintain details for the emergency contact and dependents.

Bank Details

  • Add and check bank/beneficiary information

Job info

  • Add and check job information and compensation information

Work Permit and More

  • Add and check attachments and more compensation

Maintaing Previous Work Experience

  • Maintain previous work experience information
