Appointment Time Flexibility
- One-and-a-half-hour deviation allowed: If a client requests an inspection time later than the last available slot for the day, a booking is possible within a 1.5-hour window. Inform the inspector and note the deviation in the booking confirmation. Don't contact the inspector directly for this.
- Flexibility dependent on first slot: If a client asks for a time later than the inspector's first available slot, careful consideration is needed, as it might disrupt their schedule.
- Exceptions to first-slot rule: Inspections of smaller condos might allow later bookings without impacting subsequent inspections. Inspections near the end of the day or scheduling for the next day are also more flexible.
- Mobile-only restriction: If Riaan's schedule is full, some inspections can occur in Mobile only, but Dave's approval is necessary before booking.
- FSBO (For Sale By Owner) Information: Obtain seller contact information to gain access for FSBO homes.
- Unfinished Basement Square Footage: Total square footage, including unfinished basements, should be added to the total listed area.
- Additional Services (e.g., Multi-Unit): For duplexes, choose the residential inspection type; add a $50 Multi-Unit fee. For triplexes, choose the residential inspection type, and manually adjust the Multi-Unit fee to $100.
Inspection Time Constraints
- Small Home Specifications (Mobile/Baldwin): Inspections of homes smaller than 2000 sq ft in Mobile and Baldwin can occur without add-on services, and include crawlspaces. Consult the Inspector Capabilities sheet for details.
- Daily Limit: Inspectors can perform only one inspection per day.
- Predetermined time slots include 9 am, 10 am, 11 am, 12 pm, and 1 pm.
- Prioritizing 8 AM: If an inspection is booked outside of the 8 am slot, ensure the 8 am time is blocked to prevent double-bookings.
- Sentri-Lock: A one-day code is required for all inspectors (except Riaan) for security access. Inspectors are notified, and the relevant details are noted on their confirmation.
- Mold Swab/Air Quality Inspections: Confirm client needs a Mold Swab Inspection (visible mold required) or an Air Quality Inspection (3 samples, 1 outside, 2 inside).
- Fortified Certificate Renewals: Only Fortified Certificate Renewals are scheduled in-house. All other fortified inspection requests are passed to Courtney for pricing and scheduling with Chuck at 7 am.
- New Construction: No inspection type for new construction; use Residential or Condo options.
- Detached Garages: All detached garages require an additional inspection fee.
- Garage/Outbuilding Crawlspaces: A $50 foundation fee is required for garages or outbuildings with crawlspaces.
- Homes Over 5000 sq ft: Contact Courtney to confirm duration for homes over 5001 sq ft. Mark this on the order form.
- Access Notes/Attendance Notes: Include all access and attendance notes in the Internal Notes section of the order form. This information will be carried over for the inspector on the confirmation.
- Lists of Concerns: If clients/agents provide a list of concerns/known issues, share this with the inspector and/or Courtney.
- Rescheduling: When rescheduling with a new inspector, remove the previous inspector and add the new one before rescheduling to ensure correct email notification.
- Office Notes and Property Details: Include caller's name, phone number, and property address for Courtney via SMS. After completing a Spectora quote, save the information using the Spectora Quote Form. Do not schedule or save in Spectora. If a quote email is requested, compose the email using your work email account and the given template.
- Additional Samples: If client requests additional samples, let them know the inspector will assess onsite and note the order.
- Courtney Communication: Gather caller's name, phone number, and property address for Courtney via SMS to confirm pricing and schedule.
