It is equally important that there are processes which also safeguard and protect the welfare and right to privacy of the police officers themselves. []{#section2.anchor}**2. Visits from Members of the Public** 2.1 Persons who attend the police station and request to speak to a specific police officer must be initially dealt with by the station controller. Their details should be obtained and they should give a reason for wanting to speak with the said police officer. If the reason is of a sensitive nature and the member of the public does not wish to give details then the station controller should speak with the Duty Officer or if this is not practicable at the time, either the officer in question or another Senior officer who will give advice. 2.2 If the member of the public has an appointment with a police officer then it may not be necessary for the station controller to ask for the reason for the member of the public wanting to see the police officer. 2.3 Once all details are obtained, the member of the public will be asked to wait in the Reception area while enquiries are made to ascertain if the Officer is available. 2.4 If any queries can be dealt with by the Duty Inspector, Sergeant or the Controller without reference to the Officer requested, then this course of action is to be encouraged and will more often than not save time and leave the member of the public more satisfied. 2.5 Nothing stated above will alter the actions of the police or the way that the member of the public is treated during the course of any investigation e.g. the Volunteers Attendees Register, re-Bail etc. []{#section3.anchor}**3. Telephone Requests** 3.1 Telephone requests for appointments will be referred to Administration Officers in appropriate cases, or the Officers concerned personally, subject to availability. Neither home telephone numbers nor home addresses of any Police Officers will be disclosed to callers. Any such request will be refused and the callers' name and telephone number will be requested. He/she will be advised that the Police Officer named, will be informed of the details and may return the call. The Officer receiving the initial call will then ensure that such details are passed to the Officer concerned. Data Protection must be respected with regards personal details of any officers and this must be treated with the utmost of confidence and integrity. Failure to do so could very well endanger the safety of a police officer and any officer who is found guilty of betraying this standard could be liable to disciplinary proceedings. Personal Interviews Requested by members of the force** 4.1 Any member of the Force having reason to seek an interview with the Chief Constable, Deputy Chief Constable or a member of the SMT will arrange an appointment through his/her chain of command. If this is not the course of action that the said officer wishes to follow due to circumstances, then the officer may make an appointment through the Administration Officer of the person they want to see. This course of action must be taken with caution and the police officer must be justified for not wanting to go through his/her chain of command. 4.2 Any request to seek an interview with the CC or DCC will be under exceptional circumstances as all issues are expected to be resolved at SMT level.
