FALL END OF QUARTER STACK MEETING AGENDA  Finals Week is Dec. 9-13  Winter Break begins at 4pm on Friday, Dec 13th. o There will be a reduction in service beginning at 4pm ▪ Limited desk service each day of break ▪ Dining halls are closed during Winter Break and on-campus retail dining will be closed or have limited hours o You can stay on campus during the entire break period or come and go as you need to. ▪ There will be an RA on call 24/7 during the break period should you need assistance.  If you want to transfer to a different hall, please fill out the Housing Transfer Request as soon as possible. This can be found in your MyHousing Portal. Not all room changes will be able to occur before winter break.  If you currently have a vacancy in your room, keep that half of the room clear, since you will likely receive a new roommate at the start of the quarter. If the space is not clear for them to move in, you can be charged a fee.  If you plan to move out of the residence halls, please note there is a deadline to do so: 4pm on Friday, Dec. 13 th. If you do not meet this deadline, you will be charged additional fees on top of your contract breakage fee. o If moving out, must clean your space and return to its previous configuration.  Health and Safety Room Checks - Residence Life Staff will be entering all rooms starting at 4pm on Friday Dec 13 th to perform health and safety room checks. o The intent of these checks are to ensure there are no hazards or risks in each room during the period of low occupancy during break. We will also be checking to confirm room occupancy (did someone move out? Etc.) o Staff will knock on your door several times before entering your room. It’s okay if you are present during these checks, we will just remind you of the tasks to complete if you’re leaving for break. o If in the process, staff see a violation of policy, your room will be documented. We aren’t searching for violations, but we will address the issue if we encounter it. o It is prohibited to take plates, cups, utensils, etc. from the dining hall. If these items are found in your room, your room will be documented. If you have any now, return them to the dining hall. o Any alcohol, drugs, burnt candles, or other items that are prohibited will be documented, which will result in a conduct warning letter or meeting with one of the Resident Directors. o Does your room need a repair? Be sure to submit a request through the “Ready” system or by emailing [email protected] to report the issue.  Housing and Facilities staff may enter your room during break to complete room repairs and to double check the occupancy of the room.  Winter Break Room Checklist o Use the “Winter Break Room Checklist” to prep your room for break! (this will be taped to your door by your RA) o Close your window and leave your heat on. When it’s cold and there are few residents in the buildings, the pipes can freeze and crack, causing major water damage to your room and other rooms. ▪ Ensure your window is closed and heat is on before you leave for break. ▪ (Remind residents how to adjust the heat) o Clean out old items from your fridge, but leave your fridge on. o Take out the trash, recycling, and compost. o Ensure your room and suite are locked and your personal items are secure. Theft can occur if items are left unattended or rooms are unlocked. o Please make sure your bike is locked or stored in your room over break. o Take home approved animals, fish in tanks, etc.  If you need to check out of your room over break, contact the RA on call when you are ready to check out (360.303.4861).  Quiet Hours during Prep and Finals weeks o Prep Week – 10pm-7am weekdays, 12am-9am weekends (one hour earlier) o Finals Week – 24 hour quiet hours (starts 7pm on Sun. Dec. 8) o Be mindful of how your noise level affects your neighbors. Students are trying to study and sleep during finals week! Items above are required, and can be at start, middle or end of meeting. Tailor rest of meeting agenda to the needs of your community. Consider: Doing something fun with your residents during or after the meeting. Asking residents to share memories from opening, what they most enjoyed this quarter, what they would like to be different next quarter. Talk about prep week/finals week, effective stress management, study/prep techniques, difference between a cumulative final vs merely a test on new material since last test, etc.
