Eco Detergents & Consumables Bundles What are these? We offer packages of cleaning detergents or consumables for a domestic cleaning service to our clients. We do that in order to save the client’s time and hassle to provide those everytime, while at the same time we help with: Reducing water pollution Conserving energy Preventing allergies and minimizing health risks for our clients. Ordering the cleaning products will make the service hassle free, more convenient for both the client and the cleaner and help us provide sustainable quality. Each detergent package consists of the following: Bathroom Cleaner Toilet Cleaner Multi Surface Cleaner Window Cleaner Floor Soap Oven & Hob Cleaner We have two available options to offer from 2 brands, both eco friendly. One is by ECOVER, which is a very well known and liked brand in the UK market. The second one is called Ecoleaf, and it is more affordable and still a very good brand. Both options we offer for home delivery. The cleaning packages are being ordered to a partner company of ours, and they distribute them to the clients through a delivery company. The client orders, our partner company delivers the detergents & consumables and they stay with the client. That way our pros will have everything they need for a clean ready for them on site. ECOVER: Ecoleaf: : ECO Consumables Bundle Our partner company can also deliver a package of essential cleaning consumables for the clients. The package of the ECO Consumables Bundle lasts approximately 10 sessions and contains the following: 2 x Pair of Household Gloves 5 x Pack of x 2 Scrubber Sponges (total 10 sponges) 1 x 5 Clothes (starter pack, all colors for different purposes/ surfaces) The delivery and booking process is the same as with the detergents. If a client wants to book both detergents and consumables, you need to book them on separate dashboards, because the consumables last for longer and would normally require to be replaced less frequently. How do we Book? Detergents Bundles can be ordered: 1) once 2) on a subscription ( every 4 weeks, every 8 weeks or every 12 weeks) If the client orders the detergents once the booking form should looks as follows: If the client orders the detergents on a subscription, you need to select “with subscription” and the relevant frequency: One set of products is enough for approximately 4 sessions, so the most suitable frequency for a detergent package delivery, combined with a cleaning service would be the following: One off - one off order Weekly domestic cleaning - offer subscription for every 4 weeks Fortnightly domestic cleaning - offer subscription for every 8 weeks Monthly domestic cleaning (only for existing bookings, not applicable for new clients) - offer subscription for every 12 weeks *The frequency field is soon to be updated with the relevant options (every 4, 8 or 12 weeks) and until further notice please always select “monthly”. Partner to be assigned manually: Boulevard Detergents & Consumables, Pro: Boulevard TEST If a subscription is booked, a dashboard must be setup, using the agreed frequency: All prices include delivery. There are no extra charges on top. *Please make sure to take payment for each and every new booking and do not leave tasks for the client’s card to be charged. The cleaning packages are being ordered to a partner company of ours (Boulevard), and they distribute them to the clients through a delivery company. As soon as a new booking is made, we place an order on the platform of our partner company and they order for a courier to pick up the package and deliver it to the client. The products are paid to us by card upfront like all other services and the clients receive an invoice by email. Everytime you book a cleaning package delivery, a task must be assigned to the Procurement team for them to order the package and organize its delivery. When the order is collected by the courier, the delivery company sends the client a notification email with a tracking link, where they will be able to check the delivery progress. The package is delivered within 2 working days from the appointment time(counting from the day after the appointment time). Please have it in mind when you align it with a cleaning service, if the detergents would need to be available for the service. EXAMPLE 1: The client calls on Monday to arrange for a one off cleaning on Friday, and he wants us to provide detergents. We need to book the detergents for Tuesday, so that the courier picks up the parcel on the next day and delivers it by the end of the day on Thursday. That way the client has them available for the service on Friday. Actual package delivery - Thursday EXAMPLE 2: The client calls on Thursday to arrange for a regular domestic cleaning to start the following week and he wants us to provide the detergents. The soonest we can offer for the cleaning to start should be Tuesday, so that the package can be delivered by the end of the day on Monday - collection on Friday and delivery on Monday. The appointment time of the package has to be on Thursday. If you book a cleaning package delivery for a future date (a month ahead), the task needs to be scheduled to pop up one working day before the appointment time of the bundle. EXAMPLE: The appointment time of the detergent delivery is for 04.11, the task must be scheduled for 01.11. Please book all appointments for 8:00 am. How do we handle existing bookings? What do we do if the client wants to reschedule or cancel their order: If the client gives us more than 48 hrs notice - we need to cancel the booking and task Procurement. There will be no cancellation fee. If the client gives us between 48 and 24 hrs notice - we need to cancel the booking and task Procurement. A cancellation fee of 11 GBP will apply. If the client gives us less than 24 hrs notice - the parcel is already ordered and out for delivery and we can no longer cancel the delivery. The client can either cancel or reschedule the future deliveries, or reschedule the current delivery for a different day by using the tracking link in the notification email from the delivery company. In any of the aforementioned cases, we need to confirm what would be the delivery schedule going forward, update the file, and task Procurement if we apply any changes. Please make sure to also update Procurement if a client wants to entirely cancel a subscription, amend the frequency or change the product type. If a client reports an item from the cleaning package being damaged, please explain we will inform our provider and send a new item as soon as possible and task Procurement with the request. The task types should be either CS - Cancelled/Skipped Appointment, CS - Amend Booking or Assistance Request, depending on the situation. Please note that all deliveries are being executed 2 working days after the appointment time. If a client asks when would the next delivery be, make sure to give them a date 2 working days after the appointment time of the following delivery. Example: If you see the next appointment date on 1.11, that means that the package will be delivered on 04.11. The clients are able to track and edit their subscriptions through the app the same way as other services and they can adjust as per their preference. If they tell you they want to reschedule the delivery for a certain day, please explain that the date they choose must be 2 working days prior to the desired delivery date. Example: The client’s next appointment is on Mon 28.10 (the actual delivery is on Wed 30.10), but they want to push the delivery for 4.11. That means that the appointment time needs to be amended to 31.10.2024. If you have any specific request from a client, simply assign a task to Procurement (Assistance request) and update the client accordingly. Good luck everyone, let's book!
