[**Banking Control** **Process Refresher**] A diagram of a business flow Description automatically generated Note **(a)**: Always ask for **supporting document** for **first time payment** - If client is unable to provide, we would need to revert client to further confirm on the availability: *["It is important that we have supporting documents before we proceed with payment so as to ensure valid payments are made for the purpose of protecting company assets."]* - If client insists that they are unable to provide, we will need to send a disclaimer as below: *["Understood and we will proceed with the payment based on your instruction. Appreciate your understanding that weConnect would not be held responsible for any risks, issues, or consequences related to this payment."]* Note **(b)**: If there is a **change of bank details** in vendor payment invoices, please follow the **normal** **banking control procedure:** - Top up from initial [banking control validation email] to client to confirm on the change of bank details. - Resend [new vendor template creation email] for approval by Assistant Manager/Manager. Note **(c)**: Please provide **further details** and for the following points in the **Payment Approval email**: - In-line with business reasons \> Please state the **nature of expense/payment** for the client - Drastic Increase/Decrease \> Please state **previous payment amount** and **explain the reason of significant changes in amount** if necessary Please always reach out to client if there is any uncertainty regarding any new or recurring vendor payments. If client is unable to clarify, always seeks advice from EM/HOD for further assistance before replying to client.
