Timecards on Payroll Mondays or Early Payroll Avoiding the use of leave without pay for employees who didn’t complete their timecards ZDash Payroll needs all timecards entered, released, and approved by 7:00 am on Payroll Processing Mondays Zdash has three areas that Payroll needs supervisors to look at. 1. Display Working Times 2. No Timecard to Supervisor 3. Approve Time No Timecard to Supervisor This will show any employee who has not entered time in ESS On this screen you can: 1. Enter cost center 2. Enter employee individually 3. Enter personnel subarea (detention 1581, SOD 1514, Patrol 1512, etc..) 4. Once you enter one of the three options, execute the report. (top left corner) Once the report populates, every employee who has not submitted a timecard will appear. This will show if both weeks are missing or just one week The total target hours is what they should have for the pay period as far as base 80 hours go. (Regular hours, Vacation Leave, Comp Leave Taken, Sick Leave, Personal Leave) Total recorded shows they have no time entered in ESS No Timecard to Supervisor Once the employees who didn’t complete their timecards are identified, you can have the employee do it themselves or send Sheriff-Payroll an email with what will need to be entered. Make sure any Overtime that needs to be added to include the OT code (Rec. Order Column) and the Supervisors name that approved it. Making Sure All When an employee doesn’t complete their timecard we have two procedures Employee 1. Charge Vacation s have 80 2. Charge Leave Without Pay Hours Making Sure All Employees have 80 Hours Most of the time we can charge employees with vacation if they have enough time to cover two weeks of pay Some will be charged Leave without pay if they don’t have enough vacation to cover or are a newer employee (new employees cannot use vacation for the first 6 months of employment) Anything our office enters MUST be corrected by the employee the Wednesday after Payroll Monday If we charge an employee LWOP and they don’t make Issue with the correction it could Charging potentially harm their benefits coverage. Leave This could result in the Without employee having to pay premiums which are Pay covered 100% by Washoe County.
