Timecards and Payroll

  • Payroll requires all timecards to be entered, released, and approved by 7:00 am on Payroll Processing Mondays.
  • This procedure prevents employees who did not complete their timecards from being placed on leave without pay.
  • ZDash is a system with three areas for supervisors: Display Working Times, No Timecard to Supervisor, and Approve Time.

No Timecard to Supervisor

  • This ZDash area identifies employees who have not submitted timecards in the ESS system.
  • Supervisors use this information to follow up with the employees.

Timecard Entry

  • Employees are expected to submit timecards to complete the process.
  • An employee can individually enter cost center, personnel sub-area (such as detention 1581, SOD 1514, Patrol 1512), and other relevant details.
  • Time entries must be accurately completed.
  • The report will then need to be executed.

Timecard Reporting

  • Reports identify employees who did not submit timecards.
  • These reports display if both or just one week is missing records, and the target hours vs. recorded hours for each employee.
  • Important note that if an employee has failed to enter their hours, it is crucial to have them do so, or provide Payroll an email with the correct information to enter.
  • Overtime should be noted and approved by a supervisor. Overtime information must be attached to the employee's time entry and the supervisor who approved it.

Employee Timecard Issues

  • Employees who do not submit timecards need procedures: (1) Charge Vacation or, (2) charge Leave Without Pay.
  • New employees (first 6 months) cannot use vacation time for payment purposes.
  • Employees should correct any missing or erroneous time entries by the Wednesday following Payroll Monday.
  • Charging Leave Without Pay can affect employee benefits if corrections are not made. Premium costs that are usually covered by Washoe County can be affected.
