Parts of a Business Letter
- Heading: Includes the date and the writer's address
- Placed at the top of the page
- Located at the left-hand margin
- Includes at least one inch from the top of the page
- Inside Address: Contains the recipient's address
- The name and address of the person or organization you are writing to
- If the recipient has a title, include it after the name.
- If the title is long, write it on the same line as the name.
- If writing to an organization or business, include only the organization's name and address, not the individual.
- Salutation: The greeting
- Use "Dear Mr./Ms./Mx." + recipient's name if known
- Option: if not known use "Dear Sir or Madam", "Dear Management" etc.
- Body: The main content of the letter
- Skip a line after each paragraph.
- Do not indent the paragraphs
- Closing: Words like "Sincerely", "Truly" etc.
- Capitalize the first word only
- Include a comma after the closing
- Signature: Typed name
- Leave four spaces underneath the closing.
