Policy Overview
- Purpose: To ensure timely and accurate timesheet submissions by all technical employees. This streamlines management decision-making, invoicing, and performance reporting.
- Scope and Eligibility: Applies to all technical employees (DevOps, R&D, pre-sales) engaged in technical and non-commercial activities.

Policy Requirements
- Task Assignment: Managers must assign tasks and set start dates to enable accurate time tracking. Employees must submit non-billable tasks according to Annex 1 guidelines.

Time Submission Categories:
- Regular Working Hours: Billable, client-related hours connected to billable projects.
- Non-Project Time: Non-billable tasks (see Annex 1).
- Vacation Hours: Follows the ITWorx Vacation Policy.
- Submission Requirements: Employees must submit timesheets by Thursday each week. Managers must review and approve submitted timesheets weekly. Tracking of missed submissions, reminders, and escalations are tracked automatically. Monthly summary reports are provided.
Accountability
- Employee Accountability: Employees failing to complete 90% of their timesheet are subject to escalation and disciplinary actions. Managers with unapproved timesheets exceeding 50 hours are subject to the same disciplinary actions.
Automated Reminders and Escalations
- Employee Reminders: Automated emails for timely timesheet completion with escalation to direct managers, and then the Service Delivery Director (SDD) if incomplete.
- Manager Reminders: Automated emails for timesheet approval with escalation to direct managers and the SDD for unapproved timesheets. Escalation to the SDD can result in disciplinary action.
Escalating Disciplinary Actions for Missed Submissions
- First Violation: Grace period, escalation to the SDD.
- Second Violation: Warning email sent to HR, Legal, manager and SDD.
- Third Violation: Second warning, HR/SDD/Manager meeting to address issues.
- Fourth Violation: Payroll deduction equal to one day's salary plus notification to the employee and manager.
- Continued Non-Compliance: Formal disciplinary actions, including HR and Legal investigations.
Exception
- No exceptions to policy requirements.
Enforcement
- Violation of policy requirements will lead to disciplinary action with HR and Legal team.
