Brand Portal Features
- Carousel: Highlights campaign kits or collections.

Brand Portal User Interface

Defining Ownership within the Portal
- Portal Owner: Responsible for the creation, structure, and maintenance of the Portal. They brief the agency on material and component needs. Sends campaign materials to the portal.
- Agency User: Uploads components and source files (INDD, PSD, AI, etc.) in the correct format, guided by DAM instructions. Updates documents and metadata.
- Portal User: Shops, views, copies, or downloads source files/renditions from the portal for reuse of materials.
Portal Owner Responsibilities
- Overall Portal Management: Responsible for the overall creation, maintenance, and structure of the portal.
- Ensuring Content Availability: Ensuring that all the content available in the Portal is Approved/Approved for Use.
- Reviewing Components: Ensuring that all component assets in the portal are the approved, up-to-date versions.
- Handling Expired/Obsolete Files: Determining which documents are expired or obsolete, and removing the portal tags from them to keep the portal relevant.
- Document Usage Report: Tracking the activity type made by any user in each Portal, including views, copies, rendition downloads, and source downloads.
- Running Document Analysis: Creating a Document report to check which documents are not present in the portal or are incomplete. Tracking and adding any missing components.
Portal Owner Responsibilities (Timeline - WIP)
- October Tasks: Ensure all 8 material types are present and up-to-date, ensure that all documents present in the All Portal Library (based on approval status) are approved, and all components are uploaded in the correct location within the Material Documents.
- November Tasks: Run an analysis to add portal metadata, ensure documents have all required metadata, remove expired or obsolete documents, and check all filters and make decisions on what to remove.
- December Tasks: Check whether the portal's user interface is always up-to-date and leverage portal features correctly, also update the portal based on end-users' needs.
Materials to be Included in a Brand Portal
- Global brand book (latest version)
- Global icon set (approx. 30-50 icons)
- Images (campaign & packaging) in high resolution
- Patient images (for global use)
- Global IVA as both PDF and source files
- Graphical elements (logo, brand mark, pattern, watermark)
- 3-5 VAE and 1:M email templates

Global Brand Book
- The global brand book should be up-to-date with the latest version.
- Check with the agency for the latest version if necessary.
- Ensure all components are included in the brand portal.
Icon Set
- Ensure all icons in the portal are approved, up-to-date, and relevant for brand consistency.
- Establish a set of 30-50 icons that will be used in emails, interactive visual aids, and other branded documents.
Images (Campaign & Packaging)
- Ensure all campaign and packaging images are in high resolution (300 DPI or higher, and file size up to 4GB).
Patient Images
- Verify that patient images are present in the portal.
- If not, find and add the approved/approved for use components.
- Ensure usage rights are included.
Global Interactive Visual Aids (IVAs)
- Ensure every IVA has both PDF and source files available within the relationship section of the document.
- Keep IVAs up-to-date and ensure they are approved.
Graphical Elements
- Review component assets in both filter types ('content filters' and 'All Portal Library filters') to ensure graphic elements are up-to-date.
- Ensure source files are available for editing/localization.
- Verify brand-color compliance, especially when elements are assembled into materials.
VAE & 1:Many Email Templates
- Ensure VAE and 1:Many email filters are kept up-to-date.
- Check PromoMats for updated metadata/add it to new materials using the pencil icon.
- Perform Portal health checks and update filters.
Branded PowerPoint Templates
- Ensure one compliant PowerPoint template is available in the portal.
- Ensure the template includes the PowerPoint source file (for customization).
- Ensure the template adheres to the brand guidelines.
How to View All Content Sent to the Portal
- Use the search bar in the All Portal Library.
- Use filters appropriately.

- Verify non-Enstilar documents are not incorrectly included in the Enstilar Portal.
- Remove expired, obsolete, or superseded materials.
- Check for language support beyond English (if needed).
Add the Portal Metadata
- Navigate to the designated document within the portal, and use the pencil icon for editing.
- Adjust relevant fields as necessary to match existing portal specifications.
- Utilize the specified Portal Tag/Widgets when applicable.
Expired & Obsolete Documents
- Use the filters to identify 'Expired', 'Obsolete', or 'Superseded' documents within the Portal Status.
