Attendance Policy Overview
- Spring Fire Department (SFD) requires all personnel to be punctual and attend all scheduled shifts
- Tardiness and absence negatively impact department operations
- Unexcused tardiness or absence can lead to disciplinary action, including termination
Types of Absence
- Absence: Failing to report for scheduled work
- Excused Absence: Meets all four specific conditions
- Unexcused Absence: Fails to meet one or more conditions for excused absence
Time Off and Leave Usage
- Full-time employees: Use accrued time for all absences except for instances outlined in department policy
- Vacation and Sick leave: SFD.039 for operations personnel, SFD.057 for administration and support staff
- FMLA Leave: Refer to SFD.051
- Military Leave: Refer to SFD.050
Catastrophic Leave
- Created for employees facing extenuating circumstances, after exhausting PTO and sick leave
- Contributions from employees who voluntarily donate PTO or sick leave
- Operations personnel: Minimum 12 hours donation per year, max 240 hours withdrawal
- Administrative personnel: Minimum 8 hours donation per year, max 160 hours withdrawal
- Assistant Fire Chief, Deputy Fire Chief of Operations, and Director of Human Resources review and approve withdrawal requests
Physician Note
- Required for sick leave exceeding 48 hours
- May be requested for absences less than 48 hours due to illness or injury
- Also required before or after a scheduled vacation or holiday
Notice Procedures
- Contact the scheduled supervisor and the District Chief as soon as possible if unable to make a scheduled shift
- Phone call required; texting or email is not acceptable
- Failure to notify constitutes absence without leave (AWOL)
- Immediate notification required for emergencies occurring before or during a shift
Tardiness
- Personnel expected to be on time
- Notify the scheduled supervisor immediately if tardiness is unavoidable
Bereavement
- All personnel eligible for bereavement leave
- Varies based on relationship to deceased individual
- Up to five consecutive days with full pay for certain close family members: spouse, domestic partner, child, stepchild, sibling, step-sibling, parent, step-parent, father-in-law, mother-in-law, grandparent, grandchild, or adult who stood in loco parentis
- Two consecutive days with full pay for other family members: grandparent-in-law, brother-in-law, sister-in-law, aunt, or uncle
Jury Duty
- Full-time employees receive up to five working days of paid time off for jury duty or subpoena appearances
- No pay for plaintiff or defendant appearances, or for non-subpoena court appearances
- Employees must report to duty upon dismissal from court if it is a scheduled workday
