FIRE ALARM PROCEDURE 1. CHECK THE CACF ROOM Go inside the CACF ROOM and take a picture or record a video of the Fire Panel. Notice the Area where the signals are coming from. 2. PRESS THE ACKNOWLEDGE BUTTON This will only turn off the high pitch beeping coming from the panel. Use the Arrow Keys to Scroll through if there is more than one alarm. Never press SILENCE or SYSTEM RESET until a fire official has given “ALL CLEAR”. 3. MAKE 1ST ANNOUNCEMENT Use the P.A system to inform the residents of the situation. Wait for a few seconds until you hear a continuous beeping sound. The alarm will be silenced automatically on a temporary basis, then make the following announcement. Note: Make sure you speak slowly and clearly. Keep some distance between your mouth and the microphone while you speak. "Your attention, please, your attention, please. This is Concierge speaking. We are currently experiencing a fire alarm. The Fire Services have been notified and are on their way. Please wait for further instructions. Thank you" (REPEAT TWICE) Press the ALL-CALL button again after you are done with the announcement to turn it off. 4. PREPARE FOR THE FIRE DEPARTMENT Prop open the main entrance doors. Unlock the Fire Safety Box (FSB), located near the South entrance of the lobby of 3 Gloucester St. and retrieve the following. Fire Fighter's keys Fire 4 Elevator Keys Safety 1 Commercial Area Master Plan 1 Master Fob (FSP) Manually 'Recall' the elevators, if they do not automatically come to the ground floor: Use the Elevator Recall Device located on the wall next to the elevators and turn the key switch to the ON position. Make sure the Fire routes are clear of people and vehicles. Clear all people from the lobby (they are to exit the building) Wait in the lobby for the Fire department’s arrival 5. MAKE 2ND ANNOUNCEMENT to be done upon the arrival of the Fire Department. "Your Attention, please, Your attention, please. This is the Concierge speaking. The Fire Department is now on-site and is currently investigating the cause of the alarm. Please stand by for further instructions". (REPEAT TWICE) 6. ASSIST THE FIRE DEPARTMENT Hand over the site keys and other items from the FIRE SAFETY BOX. Follow the direction of the Fire Department and assist as directed. 7. WHEN THE 'ALL CLEAR' HAS BEEN GIVEN, RESET the Fire Alarm - Press the 'SYSTEM RESET" button on the Fire Panel. Only do this when instructed to by the Fire Department and the ALL CLEAR has been given. Before silencing the alarm, you must write down the Fire Official's badge number, name, and time the request was given. 8. MAKE THE 3RD ANNOUNCEMENT - only done when the fire department has given you the all-clear. "Your Attention please, Your attention, please. This is concierge speaking. The fire alarm has been declared "all clear' by the Fire Department. I repeat, the fire alarm has been declared 'all clear' by the Fire Department. The alarm system will now be restored to normal operation. The elevators will be working shortly, thank you for your co-operation” (REPEAT TWICE) 9. RESET THE ELEVATORS The only time that security staff should ever engage in the act of resetting elevators is after a fire alarm event that has caused the elevators to ground. How to 'Reset' the Elevators: 1. Turn towards RESET 2. Turn towards OFF 1. Use the Elevator Key FEO K1 (Available in Fire Keyset) 2. Turn the key switch for the Elevator Recall Device located on the lobby wall next to the elevators to the RESET position. 3. Use the Elevator Recall Device located on the wall next to the elevators and turn the key switch to the OFF position. (The elevator doors will close) 4. Verify that the Elevators are functioning properly, by pressing the normal call buttons, the elevator doors should open, select a few floors, and watch to make sure the elevators go to the floors selected. NOTE: If the elevator does not reset, you must call the property manager immediately, as a service technician may be required to attend the site. 10. PATROL AND INFORM Building patrol - Security must patrol the entire exterior of the building, making sure that all doors are closed and are secured. Call GUARDTEK, the monitoring station at 416-736-7203 be ready to give the system ID number: 812-787 Inform them that the alarm has been deemed all-clear by the Fire Department and all building systems have been reset. (Make sure you gather the operator’s name or badge number, as it needs to be included in the incident report) Inform the Property Manager and the site Supervisor. 11. WRITE THE INCIDENT REPORT. Write an incident report - This incident Report must include the following: o Time of alarm o Location of alarm o Type of alarm o Time of the Fire Department's Arrival o Fire Truck number o Fire Department Capitan Name o The cause of the alarm (Pull Station, Heat detector, etc.) o Time which the 'All Clear' was given o The name of the Fire Official who gave the 'All Clear' o Time which the "All Clear' announcement was made o Time which the fire panel was 'Reset" o Any equipment that may have been used (Fire extinguishers, etc.) o Any damage that may have occurred (fire or water, etc) o Time which the Fire Department departed from the property o Start and finish time of the exterior patrol o The time of the Monitoring Station was called o The Monitoring Station operator’s name /number (if retrieved) o Time the property manager was called. o Time that Regal Security supervisor was informed
