Patient Education: Update or Create Patient education materials should be applicable system-wide Patient education and information shared with patients and families should be consistent across the Inova Health System.* *Example: ILH NICU and IFMC NICU patient education should be the same, recognizing that each may have additional patient education that is not often / never used by the other. All NICU patient education should be available and applicable to all NICUs regardless of use. You need patient education? 1. Check Mytonomy. Are there video and/or written materials that can meet or replace your patient education needs? a. Yes. Great. Start using Mytonomy materials. These are accessible via MyChart and Epic. b. No. Next slide No. Mytonomy materials are not sufficient. We need our own patient education materials. a. You have existing education that needs updating b. Another unit around the system has these education materials (how would they find out?) c. You need to develop new patient education mater ials. a. Written / Print only b. Video c. Both? Need: Update existing materials Update the existing patient education material with the help of your service line leaders and unit patient education council. If this is an existing video that needs to be updated or redone, see Video Consult the Planning Tool and Content Guidelines for guidance. If you need examples, background information, or other informational support, please contact Inova Health Sciences Library and let them know you are updating/developing patient education materials. Reach out to your Service Line Ambassador for assistance in determining if your education is applicable system-wide. They can connect you with the Service Line leader for the system. Need: Update existing materials -- Submit Are the updated patient education materials complete and approved by your Service Line? 1) Yes. Submit your request to the Patient Education Request form for review by the Patient Education Governance Committee.? 2) Your Service Line Ambassador? will submit these materials to Daniel Reid – [email protected] who will submit them to Mytonomy for branding and uploading to Mytonomy, if needed. Mytonomy will return these branded materials to you / your Service Line Ambassador. You can then submit them to Language Services for translation, if needed. 3) Send translated materials back to your Service Line Ambassador to send to Daniel Reid for uploading to Mytonomy. 4) Print your patient education materials as needed. On the unit or via FedEx Printing with FedEx 1.The short-term process to request printed patient education materials is as follows: 1.Email Inova’s FedEx Store Manager Erin Adams at [email protected], and cc [email protected] 2.Also cc Christi Adams, from MarComs, [email protected] for awareness 3.Download the Mytonomy written asset to be printed and attach it to the email 4.Indicate the quantity, type of print order (e.g., booklet, brochure) Be mindful about the order quantity to avoid version control issues FedEx will reach out with questions and/or the quote 2. This process will be added on the InovaConnect FAQ under Patient Education. We are working with Mytonomy and FedEx to create a more efficient and controlled process. Need: Develop new patient education materials Video Written or print only Both Video Mytonomy manages all aspects of video creation. Video creation will incur fees charged to your Service Line. 1) Explicitly outline your video needs. Do you need to have live video of Inova people or Inova locations/materials? Create an outline and/or script Will this video need non-English subtitles or narration? Are you requesting Mytonomy to develop a new topic with their people & assets? Timeline? Rate Card as of 11/13/24 2) Reach out to your Service Line Ambassador for assistance in determining if your education is applicable system-wide. They can connect you with the Service Line leader for the system. Written or Print Only Working with your Service Line, create new written materials. Consult the Planning Tool and Content Guidelines for guidance. If you need examples, background information, or other informational support, please contact Inova Health Sciences Library and let them know you are updating/developing patient education materials. For shorter written materials (other than a booklet?), you can use the Word templates on Brand Central. *If you use these templates, you will not need Mytonomy to brand them. Do we want Mytonomy to edit them for Health Literacy level? Contact your Service Line Ambassador to make sure the new materials are applicable system-wide If approved by the Service Line, submit your materials to the Patient Education Request Form for Patient Education Governance Committee Review. You will need to confirm that your materials will be used system-wide or unique to your needs/location/operating unit. New patient education materials: Both video & print needed Written materials can be developed more quickly than video materials. Can your area wait for video and use written materials in the meantime? Do you want to wait for both video and written to be made available at the same time? What should the team create/put together to adequately communicate their needs & expectations to Mytonomy?
