School gates open to families at 8:30 and shut at 9am Gate reopen at 3:10 and close at 3:45 New toilets All buildings are to be shut at recess and lunch Toilets will be open in the morning by Junior 1 and Middle and Senior 2nd half yard duty to do a quick sweep of the toilets at the end of recess and lunch to ensure the taps aren’t running all areas in and around the portables are out of bounds except the toilets OHS stay with me! This policy is available on our OHS Notice Board and in your OHS Staff Induction Handbook. Our OHS Mission and OHS Structural Chart Here at Barrawang Primary School we strive to maintain a positive and proactive OHS culture that ensures our school community thrives in a safe environment throughout 2025 and beyond. It takes a team effort to continue to build and maintain a safety culture. The OHS Structural Chart below identifies staff members that have been allocated to the key rolls within our OHSMS: Location of OHS Information Our Chemical Register and asbestos folder (including our Asbestos Management Plan and current Asbestos and Label Register) are stored in our Administration Office. Location of Our OHS Notice Board is located in the Staff Lounge. Keep up to date with changes to our OHSMS. Key OHS Information Our school policies, including Asthma, Anaphylaxis and Child Safe are available on our school website. Please refer to these policies. The Evacuation Process should be clearly displayed in all classrooms and key areas within the school buildings. Opening Elections for our HSR Powers of the HSR What are the Powers of a Health & Safety Rep: Inspect any part of a workplace at which a member of the DWG works at any time after giving reasonable notice to the employer and immediately in the event of an incident or any situation involving an immediate risk to the health or safety of any person. Take photographs or measurements or make sketches or recordings (including audio and video) at any part of a workplace at which a member of the DWG works. Note: An HSR is not permitted to take photographs or measurements or make sketches or recordings during interviews referred to in section 58(1)(d) or 58(1)(e) of the OHS Act. This includes during an interview between a member of the HSR’s DWG and an inspector or the employer. Accompany an inspector during a workplace inspection where a member of their DWG works. Require the establishment of a health and safety committee (HSC). If a member of the DWG consents, be present at an interview concerning occupational health and safety (OHS) between the member and an inspector or the member and the employer. Note: an HSR is not permitted to take photographs or measurements or make sketches or recordings during these interviews. If the HSR is authorised to represent an independent contractor and that person consents, be present at an interview concerning OHS between the person and an inspector or the person and the employer. Note: an HSR is not permitted to take photographs or measurements or make sketches or recordings during these interviews. Wherever necessary, seek the assistance of any person. Issue a provisional improvement notice (PIN). Issue a direction to cease work after consultation has taken place with the employer. What is expected of the Health & Safety Rep (HSR) ∙ be a Workplace Manager ∙ be a Management OHS Nominee ∙ be a Volunteer ∙ be a Contractor A HSR Cannot: ∙ be an external union representative (an employee that is also a union representative is allowable) ∙ be made to implement or manage the workplaces OHS Management System in place of the Workplace Manager or the Management OHS Nominee (they can agree to work with the management team as long as they receive appropriate time allocation) ∙ attend the WorkSafe Approved five-day Health and Safety Training and annual one-day refresher ∙ participate in health and safety training relevant to their role and as per their entitlements under OHS legislation ∙ represent their DWG in local health and safety communication and consultation processes A HSR must be ∙ assist in resolving local health, safety issues using the OHS issue resolution process ∙ assist in participating in workplace inspections, including visits by WorkSafe Victoria inspectors and given the inspections following a, near miss or identification of an immediate risk ∙ opportunity to: be present at interviews concerning OHS matters between DWG members and employer or inspector, if the member consents ∙ be a member of the Health and Safety Committee (where applicable) ∙ assist in complying with the requirements of OHS legal notices (e.g. Provisional Improvement Notices (PIN), Improvement Notices and Prohibition Notices) HSR Election Process The Term of Office of a HSR is 3 years unless the HSR resigns prior to the term. How would you like the election process to take place? EduSafe Plus What is eduSafe Plus? eduSafe Plus is the Department’s hazard, incident and injury reporting system for incidents that have, or could have, resulted in injury to staff, visitors or contractors. It allows all Department employees to report incidents, injuries and hazards themselves, or on behalf of other employees. All Department employees are responsible for reporting workplace hazards, injuries and near misses as soon as practicable through eduSafe Plus. What type of report do I submit? If a person is harmed or injured because of an occurrence, the report type is ‘Injury’. For example, there is an uneven pathway, you trip, fall and injure yourself. If a person could have been harmed or injured because of an occurrence, the report type is ‘Near Miss’. For example, there is an uneven pathway, you stumble but don’t fall or injure yourself. If something in the workplace has the potential to cause an injury or near miss, the report type is ‘Hazard’. For example, you look down and notice the uneven pathway and note that it could be a tripping hazard. Workplace Inspections Workplace Inspections are scheduled quarterly. They are a valuable process in identifying any hazards, allowing the OHS team to action and communicate any concerns. This allows us to maintain a safe and healthy workplace. The following workplace inspection checklists need to be completed during quarterly checks: ▪ Art Room ▪ External Grounds and Sporting Fields ▪ General Inspections ▪ Playground Equipment and Structures ▪ Shed, Workshops and Facilities Management Storage Please don’t wait for workplace inspections to report a hazard or near miss. See something, do something! First Aid Procedures and Officers First Aid Our First aid Our First Aid Kits Our First Aid Room is located: are stored: Officers have current training in: Administration First Aid Room HLTAID011 Building Warden Rooms HLTAID009 – CPR (CPR must be completed annually) First Aid Procedures General First Aid Procedures for Staff and Students (as per the Department’s First Aid for Students and Staff Guidance): Danger Always check for any danger to you, any bystanders and then the injured student. Staff should not put themselves in danger when assisting an injured or sick student. Response Check if the student is conscious by seeing if they will respond when you talk to them, touch their hand or squeeze their shoulder. Send for help Call 000. Airways Check the student’s airway is clear and they are breathing. Breathing Check for breathing (look for chest movements, listen for air coming through the student’s mouth or nose or feel for breathing by placing a hand on the lower part of the student’s chest. CPR by trained staff If the student is unconscious and not breathing, apply CPR (cardiopulmonary resuscitation). Defibrillator If the student is unconscious and not breathing, apply an automated external defibrillator (AED) if one is available, if trained to do so. Some AEDs are not suitable for children so ensure the device is checked for suitability. First Aid Officers The following staff members have been trained in the first aid course HLTAID011 and HLTAID009. They have been assigned as our First Aid Officers. Our First Aid Officers are always reviewed in Term 1 to ensure that we cater for the minimum ratio of trained staff outlined in our First Aid Risk Assessment. Electrical Equipment All electrical equipment requires current testing and tagging outside of a 12-month warranty period. Please keep in mind that this includes personal products. Please ensure that all electrical cords are available during scheduled test and tag times. Cords that are not tagged must not be used within our workplace. Please report untagged leads to the OHS team. If new products have been approved for use within our school, a ‘New to Service’ sticker must be added to the cord and product details added to our ‘New Electrical Products Register’. See our OHS team for further details. Traffic Management Plan Our Traffic Management Plan looks at identifying, reducing or monitoring risks involved with traffic. It is reviewed on an annual basis and can be accessed under Hazard Management – Traffic Management. It is important to keep in mind that ‘vehicles’ include such items as a lawn mower. If you are booking an incursion and the company requires a vehicle to enter the site, you will need to forward them our Traffic Management Plan and highlight the below restrictions: Vehicles are not allowed to move around our school site during the following time periods of peak pedestrian traffic: ▪ Drop off: 8.35am – 9.10am ▪ Recess: 10.55am – 11.35am ▪ Lunch: 1.25pm – 2.35pm ▪ Pick up: 3.15pm – 3.45pm Prior to entering our school, drivers of large vehicles must report to the office to arrange for a member of staff to act as a “spotter” to supervise vehicle movements whilst on site. Manual Handling What is Manual Handling? Manual handling is any activity requiring the use of force, exerted by a person to lift, lower, push, pull, carry or otherwise move, hold or restrain an object, person or animal. This includes the following considerations: Identifying, reporting and assessing manual handling tasks. Completing detailed quarterly Workplace Inspections Checklists. Storing heavy and/or regularly used supplies on storage shelves between waist and shoulder height. Knowing where your nearest step ladder or trolley is located. Never standing on a chair or table to grasp out of reach items or to display student work. Keeping storage areas CLEAN AND TIDY. Referring to the acronym outlined in the DET Manual Handling Training PowerPoint Presentation: TILE – Task - Individual – Load – Environment. Ask yourself: “Can I change one or more of TILE to eliminate or reduce a manual handling hazard within my workspace?” Follow the S.M.A.R.T Lifting technique COMPASS ICONS and DEFINITIONS Understanding our COMPASS icons We use COMPASS to communicate important student information. Please ensure you access and view all relevant student information: Emergency Management Emergency Management Process The code system listed below will be used to communicate which evacuation process staff need to follow in the event of an emergency or evacuation drill. CODE GREEN OVAL EVACUATION CODE PINK GYM EVACUATION CODE ORANGE LOCK DOWN CODE YELLOW OFF-SITE EVACUATION Emergency Management Process Warden Zone Map Using our QR code to report accountability QR Code to link Google Form Cross checking the accountability of our school community during an evacuation drill or emergency can be challenging, particularly in a Code Orange Lock Down. With the focus on efficiency and accuracy, we have an Evacuation Google Form that is linked to a Google Sheet. The form works through a range of questions to ensure all staff, students, visitors and contractors have been accounted for. A QR Code has been linked to the form. During an evacuation, staff will scan the QR code and accurately complete all fields. Responses should be checked for mistakes before pressing the SUBMIT button. ALL ES MUST SCAN THE QR CODE THEMSELVES TEACHERS WILL CHECK IN ANY OTHER VISITORS WITH THEM A second QR Code has been prepared to link the Incident Management Team (IMT) to a Response Spreadsheet. As staff complete and submit their Google Form, the live Response Spreadsheet will continually update. Formulas have been embedded within the spreadsheet to automatically cross check categories within the certain fields. QR Code to link Google Form The Evacuation Form QR Code for staff to scan has been inserted into our Evacuation Process Chart. This document is displayed around the workplace providing access to the QR code from all areas within our school. Hard copy posters of this QR are available in our Evacuation Kit if you haven’t had the opportunity to scan before arriving at the assembly location. The link to the form has also been included on this poster. During a Lock Down, this link will allow you to complete the form on a computer. If phone services are down during an emergency, the paper class lists in our evacuation kit can be used as a back-up method. If a staff member or CRT does not have a phone on them, another staff member can scan for a second time using the QR poster at the assembly point. Each time you scan the QR Code, a new page in your internet application will appear. Staff can move between the pages within their internet to view each QR form if responses require editing. Completing the QR Form Once you have scanned the Evacuation Form QR Code, please complete all relevant fields. Warden Room They help communicate the expectations of the task and clearly identify which spaces within our school have been allocated as a Warden or Deputy. Deputy Room Coloured Zone Wardens What is the role of a Coloured Zone Warden? ▪ Act as directed by the Chief Warden. ▪ Wear your high vis vest and collect first aid kit. ▪ Where safe to do so, sweep all internal and external spaces within my coloured zone. ▪ Collect anyone left behind (e.g. contractors, staff, visitors and/or students) whilst conducting the sweep and deliver them to the appropriate staff member at the assembly point. ▪ Report any hazards or concerns to the IMT as soon as possible (see contact details in IMT Contacts QR). ▪ At the assembly point, complete all appropriate fields within the QR Form, including, reporting ONE of the following details in the final section: I HAVE swept and cleared my zone. Please feel free to publish these resources for students in your class that may benefit from the additional support. The two main resources include: 1. Evacuation Process Social Story – These cards reflect the details in our Evacuation Process Chart and Student Induction. 2. Keep Calm– These cards offer strategies to support your students in keeping calm during an emergency. Please feel free to adapt these cards to suit your student’s needs.
