Recruitment Process
- After receiving an offer, the Recruitment Manager (RM) contacts the Human Resources (HR) department via email, phone, or in person.
- HR then initiates the recruitment process by creating a new starter contract in the online system.
- The RM provides the updated starter request form to HR along with the Candidate's CV, interview notes, and referee details.
- The HR department then enters the candidate’s details into the HR database.
- HR completes the Certificate of Employment (COE) draft.
- HR then emails the COE to the RM for review and confirmation.
- If the COE is completed, HR then updates the recruitment and candidate management (RN/CM) systems with the updated COE status.
- HR contacts the RM by phone to confirm the start date for the candidate including any required action from HR.
Offer Withdrawal
- Offer withdrawal will be issued to the employee if correct referee details are not provided within 5 working days of the initial request.
- If referees are provided after three chases and a further 5 working days, the offer will be withdrawn.
- HR contacts the RM via phone to confirm the offer withdrawal.
- HR updates the RN/CM system to reflect the updated status for the candidate.
- HR also contacts the candidate manager and the recruiter to confirm the offer withdrawal.
Referee Process
- HR receives a form from RM requesting the start date and FE details for the candidate
- HR attaches Referees to the form and sends it to RN/CM
- HR assesses if COE approval has been provided within 3 working days. If yes, HR updates RN/CM to reflect amendments made.
- HR checks if Referees have been received within 2 working days. If yes, HR checks again after 5 working days if Referees have been provided.
- If Referees have not been received after 5 working days, HR will chase Referees and update the status of the RN/CM. If there are no Referees after 2 working days, HR will send a chase email.
- RN/CM will update the status of the form in the system. After 2 working days, RN/CM instructs HR to follow up by phone or email to confirm that the Referees have been received.
- When all Referees have been received, the RN/CM can review the form and provide feedback.
