Steps For Effective Presentation
- Four key steps for effective presentations are to Plan, Prepare, Practice, and Present.
- Planning involves considering presentation goals, audience, message, and duration.
- Preparation includes controlling nervousness, preparing slides with simple fonts, colors, and graphs; using images and clipart; 3-7 bullet points per slide; and avoiding overcrowding slides.
- Practicing is crucial for managing time, and presenting must include greeting, clear voice, eye contact, smiles, introduction and movement that don't distract the audience. Avoid hands in pockets, direct reading from notes, turning back to the audience, or sitting down.
Audience Analysis
- Audience analysis is the process of gathering and interpreting information about listeners, their needs, expectations, and preferences.
- Tailoring the presentation to the audience ensures relevant, useful, and valuable information to listeners, achieving the objective of the presentation.
- Identifying the audience, their purpose, and the level of their current knowledge is crucial. Analyzing the audience attitude and adapting the presentation content and delivery to meet the audience's expectations, preferences, and feedback are equally important, as these create a sense of confidence and charisma in communication.
Visual Aid and Slide Design
- Present your work attractively.
- Utilize appropriate software to design your presentation.
- Examples include Microsoft Powerpoint, Libreoffice PowerPoint, Google slides, WPS Office free, Prezi and Canva.
- Keep slides simple, with one main idea per slide, clear titles , margins, fonts and colors.
- Avoid overcrowding, choose high-quality images, and make text easily readable.
- Use clear and consistent fonts and styles throughout the presentation. Stick to one to two font families. Appropriate font sizes are vital and all capital letters should be avoided. Dark slides with light-colored text are recommended.
- Use a color wheel; adjacent colors harmonize and colors directly opposite clash. Avoid using multiple backgrounds and color combinations that can be hard to read (e.g., green on blue, dark yellow on green.)
- Limit the number of elements per slide to enhance focus. Use bullet points, short sentences, and icons, when appropriate. Put tables or complex graphs on separate slides.
- Animations and transitions should be simple, not distracting.
- The use of good storytelling, conveying emotions and making the audience remember the presentation is important.
Public Speaking
- Public speaking is a fundamental communication skill. It began in ancient Athens.
- Public speaking requires communicating information to a large audience (formal setting) in meetings, conferences, networking events, etc., as well as, having a proper subject. This should include answering audience questions.
- Five basic elements of public speaking include: who (source), what (message), whom (audience), medium (method of delivery), and effect (intent).
Common Challenges in Public Speaking
- Anxiety and fear of speaking in front of a crowd is common.
- Lack of adequate preparation, which leads to disorganized thoughts, lack of focus and difficulty in delivering the intended message.
