Project Management Concepts
- A project is a unique endeavor with a specific objective, completing through a set of interconnected tasks, effectively using resources.
- Projects have well-defined objectives, which are detailed in terms of the end product/deliverable, schedule, and budget.
- Projects are composed of interdependent tasks and use various resources.
- Projects have a specific time frame.
- Projects can be unique or one-time endeavors with a sponsor or customer.
- Projects involve a degree of uncertainty.
Examples of Projects
- Planning a wedding
- Designing and implementing a computer system
- Hosting a holiday party
- Designing and producing a brochure
- Executing an environmental clean-up of a contaminated site
- Holding a high school reunion
- Performing a series of surgeries on an accident victim
Constraints
- Scope: Deliverables must meet agreed-upon requirements or acceptance criteria.
- Quality: Meeting customer expectations.
- Schedule/Timetable: Meeting the timeline.
- Budget: Amounts agreed upon by the sponsor or customer for deliverables.
- Resources: People, materials, equipment, facilities, etc.
- Risks: Potential events that could negatively impact the project.
Unforeseen Circumstances
- Unforeseen circumstances can compromise project achievement and require careful planning and proactive communication to mitigate impact.
Project Life Cycle
- Projects are initiated when a need is identified by the customer
- Project lifecycles differ in length (from weeks to years).
- Not all projects formally follow all four phases.
Phases of the Project Life Cycle
- Phase 1: Initiating: Determining the need, opportunity, or problem, often documented in a project charter or request for proposal (RFP).
- Phase 2: Planning: Defining a roadmap (project plan) that details what needs to be done (scope, deliverables), how it will be done (activities, sequence), who will do it (resources, responsibility), and the estimated cost and risks.
- Phase 3: Performing: Executing the defined project plan.
- Phase 4: Closing: Completing the project and close-out activities, evaluating performance, and getting customer feedback.
The Project Management Process
- Project management involves planning and executing a plan to accomplish project objectives.
- Steps involved include defining the project objectives, creating a work breakdown structure, assigning responsibility, defining activities, sequencing activities (using a network diagram), estimating activity resources and durations, developing a project schedule, and determining the project budget.
Controlling Projects
