Appointment Scheduling Procedures
- Start by verifying and updating patient communication preferences and insurance information.
- Click the “NEXT” button to proceed to the appointment scheduling page.
- The newly booked appointment will appear in the selected time slot on the schedule.
Appointment Confirmation
- Appointments scheduled less than 48 hours in advance are automatically confirmed.
- If not automatically confirmed, confirmation must be obtained either in-office or by the patient.
- To confirm, click on the unconfirmed appointment (highlighted in burgundy) and check the “Confirmed: 24 hour confirmation call complete” box.
- Confirmed appointments will change color to maroon.
Patient Check-In and Check-Out Procedures
- Check a patient in or out by selecting their appointment from the appointments page.
- After selecting the patient, locate the check-in or check-out button at the bottom of the page.
- The checkout button only appears after a patient is checked in; checked-in appointments turn purple and checked-out appointments turn blue.
Next Eye Exam (NEE) Setup
- After clicking the checkout button, a prompt will appear to set up a Next Eye Exam (NEE) for the patient.
- Indicate whether a prescription was written for personalized future communications with the patient.
Life Cycle of an Appointment in TAB
- Understand the entire appointment life cycle to improve retention rates and enhance patient experience.
- Appointments begin when initially scheduled, either by staff in-office or by patients online.
- For appointments scheduled over the phone, find an available time slot and click to access the “Create appointment” page.
- Enter at least two letters of the patient’s last name and one letter of the first name to search for existing patients.
Patient File Management
- If a patient exists in the system, their name will appear (highlighted in green); click to continue the appointment process.
- For new patients or those without a file, return to the “Create appointment” page to complete the booking.
- Ensure all required fields (marked with an “*”) are filled out and select the appointment type from the dropdown menu.
