Module 1 - Introduction to Communication
- Communication is the process of sending and receiving messages through verbal and nonverbal methods.
- The word "communication" comes from the Latin word "communicare," meaning to make common or share.
- Communication involves exchanging thoughts, messages, or information through speech, writing, signals, or behavior.
- Communication is a two-way process between a sender and receiver, facilitated by a channel (medium) to get feedback.
- The communication process involves:
- Encoding: The process of putting a message into a form the recipient can understand.
- Decoding: The process of interpreting the message.
- Sender: The person who creates and sends the message.
- Receiver: The person who receives and decodes the message.
- Message: The content being communicated.
- Channel or Medium: The means by which the message is transmitted (e.g., verbal, written, non-verbal).
- Feedback: The response given by the receiver to the sender to make sure the message is received and understood.
Strengths and Weaknesses of Oral and Nonverbal Communication
- Verbal Communication: Communication through words, spoken or written.
- Oral: Spoken words
- Written: Written words
- Advantages of Oral Communication:
- Direct and Saves time
- Allows for use of nonverbal elements
- Immediate feedback

Communication Barriers
- Physical Barriers: Environmental issues, such as noise, time differences, distance, and physical obstacles, limit communication effectiveness.
- Mechanical Barriers: Problems with communication tools like computers, fax machines, telephones (e.g., transmission interruption, faulty technology, etc.)
- Psychological Barriers: Emotions (fear, mistrust, anger), individual differences (perceptions, prejudgments, biased interpretations influenced by emotions, attitudes, etc.), and other psychological factors that prevent accurate communication.
- Language or Semantic Barriers: Different languages or usage of jargon in communication. Misunderstanding words or poor use of grammar in written communications.
- Cross-Cultural Barriers: Cultural differences in communication styles, values, and behaviors can impede successful communication.
Gateways in Communication
- Formal Communication: Communication following a prescribed, regulated pathway, with defined channels and roles.
- Informal Communication: Communication that is unofficial, not following predetermined pathways. Also known as the grapevine.
- Vertical Communication: Communication between different levels of an organization (higher to lower or lower to higher).
- Upward Communication: Lower levels to higher levels
- Downward Communication: Higher levels to lower levels
- Horizontal Communication: Communication between people at the same level in an organization.
