Business Letter Format
- The most common layout is block format, where the entire letter is left justified and single-spaced, except for a double space between paragraphs.
- Modified block format is another common layout. The body of the letter, sender's and recipient's addresses are left justified and single-spaced, but the date and closing are centered.
- Semi-block is the least used format. It resembles modified block, but each paragraph is indented instead of left justified.
Parts of a Business Letter
- Letterhead: Identifies writer, address, and contact information.
- Date: Placed between the letterhead and inside address. Never use plain numerals for the date to avoid confusion.
- Inside Address: Identifies the reader's name, position, and company address. Placed directly below the date.
- Attention Line: Used to direct the letter to a specific person within a company, while also addressing the whole company.
- Salutation: Writer's greeting to the reader. Can vary in formality depending on the relationship.
- Body: Contains the message of the letter. Single-spaced internally, double-spaced between paragraphs. Short letters can be double-spaced or triple-spaced between paragraphs.

- Identification Initials: Indicates the typist's initials if the sender is not the one who typed the letter.

- Copy Notation: Indicates secondary recipients of the letter, using "cc" for carbon copy or courtesy copies.
