- Selecting and attending: Focusing on specific parts of the message
- Organizing: Structuring information for comprehension
- Interpreting: Assigning meaning, considering both literal and implied messages
- Responding: Demonstrating comprehension through verbal and nonverbal cues (paraphrasing, questions, minimal encouragers)
- Remembering: Retaining and recalling information
Obstacles to Effective Listening
-
External:
- Message overload: Difficulty processing too much information
- Message complexity: Unclear or intricate communication
- Noise: Distractions interfering with listening
-
Internal:
- Preoccupation: Distracted by internal thoughts and concerns
- Prejudgment: Holding preconceived notions about the speaker or topic
- Emotionally-loaded language: Strong emotions influencing interpretation
- Lack of effort: Not actively engaging in the listening process
- Failure to adapt listening styles: Not adjusting to the needs of the situation or speaker
Types of Nonlistening
-
Monopolizing: Focusing on oneself, interrupting or dominating the conversation
-
Pseudolistening: Pretending to listen without genuine engagement
-
Selective listening: Focusing only on certain parts of the message, ignoring others
-
Defensive listening: Perceiving attacks or hostility when none exists
-
Ambushing: Listening carefully to gather information for attacking the speaker later
-
Literal listening: Focusing solely on the surface meaning of the message, ignoring implied meanings
Listening to Support Others
-
Be mindful:
- Clear your mind to be open to the speaker
- Concentrate fully on the person speaking
- If you're forming replies, push them aside, focus on the speaker's words
- If your mind wanders, gently refocus on the person and their words
-
Understand the other person's perspective:
- Paraphrasing: Summarizing the speaker's message to demonstrate comprehension
- Minimal encouragers: Nodding, asking short questions, using phrases like "Really?" (Use sparingly, avoid interrupting)
- Express support: Acknowledge the speaker's willingness to share and show understanding of their feelings. (You don't need to agree with the speaker.)
