    5S Methodology

    • 5S is a workplace organization method using five Japanese words (seiri, seiton, seiso, seiketsu, and shitsuke) to improve efficiency and effectiveness.

    5S Process

    • Sort (Seiri): Identify and remove unnecessary items (anything not used for 12 months). Use yellow and red tagging.

    • Set in order (Seiton): Organize remaining items using visual management techniques like labels, color coding, and demarcation.

    • Shine (Seiso): Clean and maintain the workplace using clinical cleaning standards and procedures. Replace, file, and clean as you work.

    • Standardize (Seiketsu): Create simple procedures to maintain order. This prevents unacceptable conditions from recurring. Use model workplaces.

    • Sustain (Shitsuke): Create a culture of high self-discipline to maintain the standards. Use monthly maturity assessments, action plans, and training for new/existing employees.

    • Benefits: Team members have input, improved problem-solving (5 Whys technique), and increased teamwork.

    Yellow Tagging

    • Objective: Separate needed items from unneeded items for current work.

    • How often used: Determines criteria for ‘needed items’ (e.g., seldom, occasionally, often).

    • Where to store: Items are stored close to their use, ideally within three steps.

    • Identify items: Walk through the workspace identifying unneeded and misplaced items.

    • Evaluate items: Determine the use and quantity of each item.

    Red Tagging

    • Objective: Identify faulty or unsafe conditions/items in the workplace.

    • Procedure: Identify faulty items; put a red tag on problematic item, involve necessary staff/departments (maintenance, IT). Fix/repair as soon as possible.

    • Responsibility: Everyone is responsible for workplace safety and following safety procedures.

    Ergonomics

    • Goal: Interface with the workplace safely.

    • Elements: Hold items safely. Avoid repetitive/uncomfortable motions. Keep floors clear of obstacles.

    • Examples: Desk arrangements, computer posture, equipment placement.

    Workplace Standards/Model Workplaces

    • Implementation: Design models that show best practices and quick solutions for workspaces.

    • Requirements: Maturity assessment scores, model desks/tables/surfaces, machines, equipment, devices, single-minute information retrieval, and model storage.

    Single Minute Information Retrieval

    • Goal: Achieve very fast information retrieval (1 minute or 10 seconds for computer data).

    • Procedure: Create labelled systems that allow easy and instant access to information.

    Model Stores

    • Goal: Organized storage for frequently used items.

    • Elements: Clearly labelled locations, organized items, reorder levels, and storage areas that are clearly indicated.
