If the individuals feel overworked, learning a few time management tools may help reduce stress and plan how to meet their goals. What is Time Management? Time Management refers to managing time effectively so that the right time is allocated to the right activity, in order to save time, reduce stress, function effectively, increase work output and to have more control over our job responsibilities. Time Management is the art of effectively planning time. This allows individuals to efficiently and productively complete the activities and tasks they need in appropriate amount of time. Time Management also involves prioritizing the individuals’ to-do list so that helps them complete urgent or important tasks before others. This helps to avoid missing important deadlines or rushing through important tasks. 3 Importance of Time Management in a workplace 1. Helps to deliver work on time The importance of time management is evident from how easy it becomes to deliver work without delays. Proper time management is highly effective in managing the workload and ensuring that workers are not feeling stressed at work. Often when the managers and supervisors are not managing time effectively, they fail to provide a smooth workflow for workers. It is one of the most significant reasons why workers feel burnout. When there are time-boxed tasks, workers follow the structure and accomplish the selected task within the desired timeframe. This results in productivity and efficiency without causing anxiety or confusion. Companies that can help workers deliver work on time can increase their revenues. 2. Increase employee productivity and efficiency Practical time management skills are necessary to be productive and efficient at work. Companies that can ensure effective time management within the workforce can deliver quality results without affecting the quality of the workplace environment. Another importance of time management skills is that it helps employees finish a task as early as possible without overstressing themselves. 4 The organization’s overall productivity goes up, resulting in reduced overtime expenditure. Effective time management requires managers and supervisors to prioritize tasks as per importance and urgency. It helps workers to focus on an important task that improves their work quality. 3. Reduces stress and anxiety of employees Poor time management often leads to lacking shift scheduling. Workers might be working too many hours frequently, affecting their productivity and well-being. Companies with poor shift scheduling suffer from severe productivity issues, and their workers are highly dissatisfied at work. Excessive stress can lead to heart diseases and depression. It is the responsibility of the employers to ensure that there is no unnecessary stress and tensions in the workplace for workers. 4. Balance employees' work and life The importance of time management at the workplace is not only to improve the quality of work life, but it can also benefit the life of workers outside the workplace. When employees can keep things under control on the professional front, they get more time to focus on their personal lives and ensure a proper balance between work and life. 5 Benefits of good Time Management There are many benefits of managing time well in the workplace. In general, those with good time management skills will experience the following benefits compared to professionals with poor time management skills: Lower levels of stress Lower anxiety (nervousness/worry) levels Improved reputation in the workplace Better concentration More productivity Improved decision-making Attainment (achievement) of goals Increased ability to meet deadlines Improved work quality Better work-life balance Increase professional confidence More free time More energy for personal activities 6 Time Management Skills 1. Prioritization To effectively manage time, workers will need to decide in which order they should complete their tasks. Reviewing their schedule each day and labelling their to-do list with whether tasks are urgent, important, or neither can help decide when and how to manage their time throughout the day. In general, they will want to prioritize their urgent tasks in the order of their importance. Following this, individuals can complete their non-urgent tasks in the same manner. This makes sure they complete critical tasks with the needed attention and time. 2. Goal setting Goals give a measurable way to determine progress toward the end product. Setting goals can helps workers organize their to-do list and determine the priority of their tasks. If they have a goal set for the end of each week or month, then they can create a priority list specifically for each goal. This can reduce the feeling of being stressed or overloaded when working toward larger goals. 3. Planning Writing down a schedule can give workers a realistic idea of how much time they have to allocate to different tasks. 7 4. Delegation Delegating tasks is an important skill to avoid being overloaded. If an individual or an employee have the capacity to delegate tasks within their workplace, consider assigning certain projects to team members that have the capacity to take them on. This gives time to focus on more challenging tasks. 5. Setting boundaries and saying "no" If a supervisor or colleague asks employees to complete a task and they do not have the time, they have to practice being strongly honest about their work capacity and current workload. Taking on too many responsibilities can prevent them from completing important work and contributes to missing deadlines. If employees are repeatedly assigned more tasks than they are able to effectively complete, it’s better to schedule a meeting with their supervisor to discuss the limits of their role and how they can best perform in their current position. 6. Focus Creating an organized workspace can help employees focus on their assignments and prevent wasting time on interruptions. To work productively, make sure they are able to find needed materials, a place where nobody will interrupt them, and a comfortable space. Instead of trying to complete several tasks at once, they will focus on one task at a time. This may improve the quality of completed tasks and allow them to reduce interruptions. 8 7. Automation Many technologies exist to automate common workplace tasks. Depending on the profession, using project management software, human resource software, email templates, or scheduling software may be able to help streamline the workload. How to strengthen Time-Management Skills Strengthening time-management skills will improve work performance. The following steps to enhance time-management skills: 1. Set short- and long-term goals Planning incorporates goal setting. Setting goals help to understand what individuals need to complete for a specific outcome. When individuals set longer- term goals, they have to identify short- and medium-term milestones that support their long-term goal. 9 For example, suppose an employee’s goal is to get promoted to a senior management position. In that case, he needs to identify the requirements that would need to meet to qualify for the promotion, such as completing a leadership qualification or improving a specific skill. When an employee set goals, ensure they are Specific, Measurable, Achievable, Relevant and Time-based (SMART). 2. Determine the priorities for the week To prioritize tasks, workers need to know their due dates and their impact on other parts of the organization. Prioritisation becomes easier with practice. Once they have identified important tasks, they can create a weekly and daily task list to ensure that they focus on these priority items. 3. Create a schedule Create a schedule with the tasks, responsibilities and other activities which need focus. Having a schedule is essential, ensuring that employees follow their schedule. They can create a schedule by using calendar to allocate sufficient time to each task, meetings and other responsibilities. At the end of each day, they need to review the day to determine if they are still on track with their schedule. If deviations from the plan occur, it may affect the goals and work tasks, and they need to check their schedule. 10 4. Delegate less important tasks Delegate activities that are not urgent to the team members. Delegating ensures that manager use their skills and abilities. It makes them feel like they are part of the team. This leads to reducing the workload and manager can focus on priority tasks. After a task is delegated, manager also need to follow-up to ensure that the task gets completed to the required standard. 5. Practice stress management techniques Frequent breaks during working hours must take place to manage stress levels and maximize productivity. Frequent breaks enhance mental well-being and performance. 6. Focus on one task at a time Focusing on multiple tasks may cause a loss of time when switching between tasks. It is better to concentrate on one task at a time. Focused work increases productivity and improves concentration. Concentrating on one task at a time can help complete tasks faster. 7. Limit distractions and interruptions To enhance focusing on a single task, develop strategies to avoid distractions and interruptions for giving it full attention. Turn off anything that can distract, including notifications from phone, email and social media. 11 For example, to spend 40 minutes writing a document, do not answer the phone or read emails during this time. 8. Incentivize yourself Think of incentives as a reward for completing challenging tasks. For example, allow some time on social media when there is a break after spending an hour drafting a document. 9. Use meetings productively To improve time-management skills, make sure meetings are productive by collaborating with colleagues on the meeting agenda and assigning a note-taker. Also, ensure that the session ends with specific action items. 10. Become self-aware Knowing when the individual is most productive can help to focus on tasks at the right time of the day. For example, if you concentrate better and are more creative in the mornings, it may be more productive to focus on writing tasks in the morning.
