Invoices Label invoices with the school site and vendor. Include the following details on each invoice: Account Description Mail to vendor/Return to CSD Date check is needed by Trip Documentation Upload pictures of trips monthly. Label pictures with the name of the trip. Additional Documents Enrichment Schedule Field Trip Packages Parent newsletter and Google calendar updates 2. Budget Instructor Time Account for instructors' time when booking. Event Planning Spread field trips and events evenly throughout the year. Consider past trips and attendance numbers for planning. Adjust the number of attendees based on past data. Vendor Considerations Optimize the use of funds, especially with vendors that do not offer refunds. Ensure each site has four trips including all students. Identify vendors coming to the site this year. 3. Staff Timesheets Missed Punches Staff should report any missed punches. Enter missed punches into the spreadsheet. Lunch Waivers Submit waivers when working over six hours. Site leads to identify who needs to submit and ensure timely submission. Monitoring and Enforcement Address frequent missed punches with staff and issue write-ups if necessary. Site leads to check missed punches weekly and discuss with staff.
