Maximize slideshows as an effective visual aid tool Empowerment Technologies Microsoft PowerPoint (or simply PowerPoint) is a presentation program, created by Robert Gaskins and Dennis Austin at a software company named Forethought, Inc. It was released on April 20, 1987, initially for Macintosh computers only. Microsoft acquired PowerPoint for $14 million three months after it appeared. Empowerment Technologies You can use PowerPoint to: Introduce an idea, proposal, organization, product, or process with professionally designed, high-impact slides. Add visual appeal by using themes, styles, and formatting options to achieve the right combination of colors, fonts, and effects. Reinforce bullet points by adding pictures, shapes, and fancy display text. Empowerment Technologies You can use PowerPoint to: Convey numeric data in easy-to-grasp ways by using attractive charts and tables. Illustrate a concept by using the SmartArt Graphics tool to create sophisticated diagrams that reflect processes, hierarchies, and other relationships. Maintain branding consistency by creating custom themes, designs, and layouts. Collaborate with colleagues, giving and receiving feedback to ensure the best possible presentation. All slides and graphics are saved in one file (example: mypowerpoint.pptx). Empowerment Technologies Use the PowerPoint file to present the information in the following ways: On-screen slide show: The file displays the slide show on a monitor or computer-projected large screen. Web pages: The file can be saved as Web page and then published on the Web. Overhead transparencies: The file can be printed as transparencies. Handouts: The file can print two to nine mini slides per page. Empowerment Technologies Creating an Effective Presentation Designing your presentation is the fun part of creating a report for it gives you a chance to be creative. Placing animations, transitions, and art could be on your own mind right now. But whether or not these features would help you is generally up to you. Sometimes, these things could actually distract your audience rather than help them Empowerment Technologies Tips in creating an effective presentation 1. Minimize. Keep slide counts to a minimum to maintain a clear message and to keep the audience attentive. Remember that the presentation is just a visual aid. Most of the information should still come from the reporter. 2. Clarity. Avoid being fancy by using a font style that is easy to read. Make sure that it is also big enough to be read by the audience. Once you start making your presentation, consider how big the screen is during your report. Empowerment Technologies Tips in creating an effective presentation 3. Simplicity. Use bullets or short sentences. Summarize the information on the screen to make the audience on what the reporter is saying than on reading the slide. Limit the content to six lines and seven words per line. This is known as the 6x7 rule. 4. Visuals. Use graphics to help in your presentation; however too many graphics might distract the audience. Avoid having different font styles and backgrounds per slide. 6. Contrast. Use light font on a dark background or vice versa. This will make the text easier to read. In most instances, it is easier to read on screen if the background is dark. This is due to the brightness of the screen. Empowerment Technologies Create Slide Presentation This section will teach the basics of opening PowerPoint and beginning a presentation. When PowerPoint is launched the Presentation window will appear. Empowerment Technologies Create Slide Presentation When creating a new presentation, you have choices about how to proceed. PowerPoint gives you a range of ways with which to start creating a presentation. You can start your presentation with: Blank: Slides that are unformatted and have no color scheme. Design: Slide Themes that have design concepts, fonts, and color schemes. Template on Microsoft.com: Microsoft Office Templates Empowerment and Technologies Design Theme A Theme gives your slides a consistent appearance throughout your presentation. Themes contain color schemes with custom formatting, styled fonts, and layouts. When you apply a design template to your presentation, the slide master and color scheme of the template replaces the original blank slide. Empowerment Technologies Design Theme 1. Select the Design tab, then on the Theme group, click on the drop-down arrow next to the last Theme. 2. The All Themes window will appear with available presentation Themes. 3. Hover the mouse pointer over a Theme to preview it. 4. Click on a Theme of your choice. Empowerment Technologies Add New Slide A slide layout defines the placement of text, pictures, tables, and graphs. If you change the layout of a slide, the text and graphics remain intact. On the Home ribbon, located in the Slides group, click on the New Slide drop-down arrow. 2. The Office Theme panel will appear with multiple slide layouts. 3. Select your desired slide layout. The View has three working areas: on the left, tabs that alternate between an outline of your slide text (Outline tab), and your slides displayed as thumbnails (Slides tab); on the right, the slide pane, which displays a large view of the current slide; and on the bottom, the notes pane. When you are finished creating and editing your presentation, Slide Sorter gives you an overall picture of it — making it easy to reorder, add, or delete slides, and preview your transition and animation effects. It is similar to Slide Show View. The difference between the two Views is that while Slide Show View takes over the whole screen, the slide in Reading View is shown in full screen, but you will see the PowerPoint title band at the top of the screen. The PowerPoint status bar and the Windows task bar are also displayed at the bottom of the screen. In this full-screen View, you see your presentation the way your audience will. You can see how your graphics, timings, movies, transition effects, and animation elements will look in the actual show. Empowerment Technologies Viewing Presentations in Different Ways Slide Show View Empowerment Technologies Creating Hyperlinks Presentations that are intended to be viewed electronically often include hyperlinks to provide access to supporting information. That information might be on a hidden slide, in another presentation, in a file on your computer or your organization’s network, or on a website. You can attach a hyperlink to any selected object, such as text, a graphic, a shape, or a table. Clicking the hyperlinked object then takes you directly to the linked location.
