INFORMATION TECHNOLOGY – 8 DENNIS J. LAPONG Starting with MS Word -1 Office Productivity is the latest and up to date educational tool in studying computer. Showing the latest accessories and technology utilizing actual graphics and images for easier understanding and lesson visualization where they can easily learn the application programs. Pictures of tools and outcome move the emphasis toward a visual-based instruction. Exercises and hands on activities will allow the students learn theoretical concepts and apply these using the computer, internet and the software application. Objectives: Recognize MS Word, its windows and screen elements Identify the Ribbon, File menu, quick access toolbar and various tabs Utilize command icons and dialog boxes Identify mini toolbar and context menu WHAT IS MS WORD? MS Word is a word processing program used to create, format, save and print letters, manuals, contracts, proposals, reports, newsletters, cards, flyers, invitations, certificates, forms envelopes, blog posts, webpages, signs, manuscripts or books with table of contents and other documents. Microsoft Word is a word processing program created by Microsoft Corporation. It is the most widely used processor today and is used in most desktop, laptops computers and mobile devices. It is available in both Windows, Macintosh and mobile versions. Microsoft Word today is part of the Microsoft Office Suite. HOW TO START THE WORD PROCESSING PROGRAM 1. Click the Start button. 2. Just type anything you want in the search bar and then you have it. 3. When you click this button it shows the following menu: Save, Save as, Open, Close, Info, New, Print, Save & Send, Help, Options, Exit. 2 Quick Access It provides access to the most common Word commands including Save, Undo, Repeat Toolbar and Copy. You can customize, add or delete buttons on this toolbar. 3 Title Bar It shows the open program and the name of the open file. 4 Ribbon It contains the commands organized in three components: a (a) Tabs – represents the activities you perform and contain related groups b (b) Groups – organizes related commands. Group name appears below the group ribbon c (c) Commands – appears within each group. 5 Dialog Box It opens a dialog box or task pane that provides more options. Launcher 6 Scroll Bar It moves the document vertically. Document Area This is where you type your text. The insertion point represents the location where 7 your text will appear. 8 Status Bar It displays the document information such as the number of the page on which the insertion point appears, the total number of pages, the proofing errors indicator and the 9 view buttons. View Buttons They display the buttons such as Print Layout, Full Screen Reading, Web Layout, Outline, 10 Draft Control Buttons They minimize, maximize, restore and close the window. 11 Zoom Level and Opens the Zoom dialog box and maximizes/minimizes the view by sliding the zoom slider Zoom Slider I.T-8, Office Productivity MS WORD 2 The Ribbon The Ribbon is the panel at the top portion of the document. It has eight tabs which are Home, Insert, Design, Page Layout, References, Mailings, Review and View. These tabs contain commands and tools which are grouped according to their function. Additional tabs such as Format and Design will show when you are working on pictures, ClipArt, WordArt, text boxes and shapes. When you lunch MS Word, the ribbon is displayed. You can hide or display the ribbon by clicking Collapse the Ribbon Display Options button. To display the full ribbon, click the tab or press Ctrl+F1. You can also minimize the displayed ribbon by double clicking the tab. The appearance of the commands on the Ribbon may change depending on its width. A command may appear as a large button or a small button. When you move the mouse pointer over each command or tool, it will display the pop-up name and function of the command. Ribbon Tabs File Menu Ribbon Minimize ribbon Tool name and function Ribbon Display Options File Menu The File menu contains menu such as Info, New, Open, Save, Save As, Print, Share, Export, Close, Account and Options. Click the arrow to close the File menu. Home Tab The Home tab displays the related commands which are grouped as Clipboard, Font, Paragraph, Styles, and Editing. Page Layout Tab The Page Layout tab displays the related commands which are grouped as Page Setup, Paragraph and Arrange. I.T-8, Office Productivity MS WORD 5 References Tab The References tab displays the related commands which are grouped as Table of Contents, Footnotes, Citations & Bibliography, Captions, Index and Table of Authorities.. Mailings Tab The Mailings tab displays the related commands which are grouped as Create, Start Mail Merge, Write & Insert Fields, Preview Results, and Finish. I.T-8, Office Productivity MS WORD 7 View Tab The View tab displays the related commands which are grouped as Views, Show, Zoom, Window, and Marcos. Working with Mini Toolbar and Context Menu When you move your mouse over the selected text a mini toolbar will appear. When you right click on the text, a context menu will appear. You can use the mini toolbar and context menu to format text without going to the Home tab. Mini Toolbar Context Menu I.T-8, Office Productivity MS WORD 8 Customizing the Quick Access Toolbar Quick Access toolbar contains frequently used commands. You can display or hide the icons. To customize this toolbar, click the Customize Quick Access Toolbar arrow and a drop-down menu will appear. Check or uncheck the commands that you need or do not need. You can also move the Quick Access toolbar below or above the Ribbon. 1. Click the Customize Quick Access Toolbar arrow. 2. Click More Commands. 3. On the dialog box, click the Quick Access Toolbar tab. 4. From the list of commands, click the one that you want to add. 5. Click the Add button and click OK. 6. The command that you added will now appear in the Quick Access Toolbar. Customizing the Ribbon You can customize the Ribbon to add tabs, groups or commands that you will use often. To Display the Customize Ribbon Tab: 1. Right click on any part of the Ribbon. 2. On the pop-up menu, click Customize the Ribbon. 3. On the dialog box, click Customize Ribbon tab. 4. On the list of commands, select the one you would like to add. Customize the Ribbon To Add a New Group: 1. Click the tab you want to customize. 2. Click the New Group button and Word adds the group. 3. Click the Rename button. 4. On the Rename dialog box, type the name of the group. 5. Click OK and Word adds the new group to the tab. To Add a New Tab: 1. Click the New Tab button. 2. Word now adds the tab and a new group within the tab. 3. Click the new tab added. 4. Click the Rename button. 5. On the Rename dialog box, type the name of your new tab. 6. Click OK. To Add a New Command: 1. Click the Choose Commands from arrow. 2. From the drop-down list, select the command category you want to use. 3. Click the you want to add. 4. Click the Custom Group you want to use and click the Add button. 5.
