ENGL1102AEF Presentation Skills Lecture 13: Revision Main course topics 1. Types of presentation 2. Analyzing the situation 3. Building your presentation 4. Structuring your presentation 5. Visual aids 6. Managing your voice 7. Managing body language 8. What is communication? 9. Barriers to communication Exam format    The main topics are what the Examination covers. It lasts for two hours, including four parts. Part A is made of 5 Multiple-Choice questions, covering any of the main topics and checking your understanding of them. (answer all questions on the same page in the answer book.)  Part B asks you to answer several questions based on some descriptions of a past presentation. These questions focus on the main topics 1, 8 and 9.  Part C is a speech analysis, where you study the script of a seven-paragraph speech and analyse the presentation/communication strategies.  Part D asks you to write one short paragraph to propose suggestions based on a presentation scenario. These suggestions relate to the main topics 2-7. 1 Practice Part B: Case Study Analysis The Property Management Department organized a two-hour face-to-face talk on the maintenance of private buildings’ electricity systems for 100 members of the owners’ companies. Chris Kwan is a member of a surveyor institution in Hong Kong and was invited to introduce participants to the different parts and functions of an electricity system and explain how to maintain the system in good condition. The members had little shared understanding of the electricity systems. During the presentation, he kept his head down, bent one leg, and had rounded shoulders. He used a flip chart; however, the words and diagrams could hardly be read. He used a lot of technical jargon that the audience did not understand to explain the operation of a good electricity system in his presentation without a break. About an hour after his presentation had started, some participants began whispering, yawning and falling asleep. Although he had arranged a question-andanswer session he could handle only 1 question as his presentation had overrun by 20 minutes. 1. Identify the type of presentation. 2. Identify and specify the eight elements of the communication process in this presentation. 3. Identify four barriers to communication in this presentation. 4. Propose one possible solution to each of the barriers listed in your answer to Question 4. Provide one example for each of these solutions. Hints: Focus on what you have learnt in the introductory lecture and the lectures “What is communication?” and “Barriers to communication”. Don’t just copy sentences from the case. Use the key terms and concepts learned in the course. 2 Part C: Script Analysis Read the following short excerpt and identify the presentation or communication strategies used by the presenter in an introduction. Illustrate each of the identified strategies with an example: quote/paraphrase any relevant parts of the text as examples. Hello, everyone. First of all, let me thank you for coming here today. I’m aware that you’re all busy preparing for the annual meeting this week, so I really appreciate your taking the time to be there. For those of you who don’t know me, my name is Chris Kwan. Let me just write that down for you. OK. I’m the project manager in charge of the Sky Tower building project in Hong Kong. This morning I’d like to update you on the current status of work at the construction site. The information I give you today should help you with planning your next steps. I’ve divided my presentation into three parts. I’ll start off by showing you some photos of the building site and discussing the progress we’ve made since January. Then I’ll move on to the problems we’re facing with our local suppliers. I’ll end with some ideas for reducing labor costs that we’ve been looking into. My talk should take about 30 minutes.
