We are pleased to inform you that you have reached the next stage of your application for Canadian citizenship. If you provide your consent to use Microsoft Teams, this enables Immigration, Refugees and Citizenship Canada (IRCC) to continue the process of your application through videoconference before in-person services resume. Microsoft Teams is a business communication platform that can be used for videoconferencing with audio and video capabilities; it allows IRCC to conduct sessions with clients through the Government of Canada's secured computer network. You can use your own computer or tablet to connect to the videoconference. The audio and video from this meeting will not be recorded by IRCC. You can access further information on **Microsoft Teams security features**. **Topics that will be discussed over Microsoft Teams during your virtual citizenship session are outlined in your event invitation that you received at the same time as this consent form.** In order to participate in this virtual citizenship event over Microsoft Teams, you will require: * A computer or tablet with a working webcam. You can't use your mobile phone for this session. * A Microsoft Teams application or a compatible browser. * Application: You can download the Microsoft Teams application through the Microsoft webpage. You will be required to create an account. * Browser: If you do not wish to download the Microsoft Teams application, it is possible to use a browser for your session. You may open the session through using the link provided in your invitation on a Microsoft Edge or Google Chrome browser. Other browsers are not compatible. * **Additional instructions** on how to join as an attendee. * A reliable internet connection that is fast enough to facilitate videoconferencing. Public networks, such as those in cafés, should not be used to access Microsoft Teams for your videoconference. * A private, quiet room in your home or office, free of noises and disruptions. * Remove any items that display sensitive and/or personal information from your camera view. * Do not use the “virtual background” feature in Microsoft Teams. * Your home/office technology setup needs to be sufficiently secure and private. For more information, see the Government of Canada “Cyber Safe” recommendations. **Are there any risks in participating in this videoconference session?** IRCC's internal secured network meets all Government of Canada privacy and confidentiality requirements. However, since clients will connect to the videoconference from their own homes or offices and use their own technical equipment with different security protocols, IRCC has no control over those security protocols outside its secured network. In spite of IRCC's efforts to use secured tools, risks remain of a security or privacy breach. To reduce the chance of harm, clients should take reasonable precautions, including ensuring that their electronic device used at the session complies with the Government of Canada “Cyber Safe" recommendations. ### COVID-19 Due to the social-distancing requirements of COVID-19, in an effort to keep you and IRCC staff members healthy, IRCC is predominantly scheduling citizenship events by videoconference using Microsoft Teams. In-person citizenship events are not currently available. If you do not want to proceed with the session using Microsoft Teams, you can communicate with [email protected]. We will contact you in the future when in-person services resume. ### CONSENT Please indicate your consent by checking the relevant box below (I agree or I do not agree) and write your name into the fillable box that corresponds with your choice. I understand and agree that IRCC does not provide assurance with respect to the protection, confidentiality, or security of the Microsoft Teams videoconferencing tool and accept the risks inherent in participating in the citizenship process through Microsoft Teams. I agree not to hold IRCC or its employees liable for any damage or loss, however caused, arising out of the communication of my personal information over Microsoft Teams for the purpose set out above. I have read the above information and **AGREE** to participate in the citizenship event through Microsoft Teams. **-OR-** I have read the above information and **DO NOT** agree to receive services or participate in events using Microsoft Teams. I would prefer to wait until in-person processes resume and acknowledge that an in-person appointment may cause further delays in my application. **RETURN THE FORM TO IRCC** * Once you have completed your form, please save it and return to IRCC through emailing [email protected] by 2024-12-20. * If you do not provide the consent form by 2024-12-20, we assume you have chosen to opt out of sessions with IRCC via Microsoft Teams. This will not affect the process of your citizenship application but will cancel the Microsoft Teams event we have scheduled with you. We will continue the processing of your application once in-person services have resumed.
