Sample View: ACCESS TO LACES ACCOUNTS New staff must complete the Student Data Confidentiality Course prior to being granted access to DOTS/LACES Submit those forms to Erica Gray Resetting accounts: Contact Erica Gray at [email protected] ONLY good for that day Must log in at least once every 90 days Note: for now, contact Mary Hugee with any DOTS issues [email protected] OTHER REQUIRED TRAININGS Assessment Policy Update for Veteran Staff or Full Assessment Policy for New Staff In Brightspace Student Confidentiality Course Every Year Program keeps the required forms on file In Brightspace LACES Trainings previously mentioned UPDATING STAFF INFORMATION If you have staff that have left or are leaving over the summer, their status needs to be marked as left in two places in the Staff Roster. Overall status needs to be marked as left as well as marking the end date in the staff history drop down under the history tab. Enter the date the staff member actually stopped working for your program. TIMELINESS OF DATA ENTRY All assessment data (pre- and post-tests) must be entered into LACES within 4 weeks of the test administration date. All other data (to include course enrollment and attendance) should be entered on a monthly basis at a minimum. Monitoring of this policy will be conducted at the regional and state levels through LACES reports, direct analysis of LACES raw data and the local program desktop monitoring tool. MONTHLY CHECKLIST AND OTHER DATA CLEANUP Complete Monthly Checklist every month and submit to your director Helpful Required for monitoring –formal and informal Be sure to run the hours between assessments in Reports Easier to fix errors if found in a timely manner. Use notes and numbers, etc… not just checkmarks. Changes have been made to the checklist: Pull and SAVE a Table 4. Examples of why this is important. FINDING GRADUATES ELIGIBLE FOR FUNDING Every graduate needs to have 12 hours in a PoP to receive funding Under the Additional Tab Select All Diplomas/Credentials. This will give you a list of all graduates for the fiscal year. Searches (along the left hand side) --->> select NRS-->> Add participants. The students listed are NRS fundable. Click the tiny box between Current fiscal year and NRS Participants to "and not" to find the students that need hours to become fundable. KEYWORD 2 Should only have 1 hour of attendance per school year If a walk-in tester returns during the year to retest or for a certificate upgrade, do not add additional attendance WALK-IN Keyword PARTNER Walk-In WIN Walk-In WorkKeys TESTING Walk-In TABE Walk-In Digital Literacy Program-determined variations are fine as long as “walk-in” is included Remember to clear the Keyword if a Walk-In returns as an enrolled student NEW NORTHSTAR CERTIFICATE NEW Funding Available for Specific Northstar Certificate Must complete these specific certificates (at least last area) Oct. 1, 2024 thru end of March 2025. New year for this funding will start April 1st. Data Entry: Enter into Non Reportable Credentials Enter SC Digital Literacy Certification (Approved) This will be/is a dropdown under non reportable Enter Date Earned A copy showing these 5 areas must be put into the permanent record. If a student will be a walk-in ONLY for Northstar, only enter 1 hour of attendance-similar to a walk-in Tabe tester. TRANSITION TO BEST PLUS 3.0 & BEST LITERACY 2.0 All four assessments (BP 2.0, BL, BP 3.0 and BL 2.0) are approved for use during the 2024-25 school year. Pre- and post-tests must use the same test instrument. Students may not be pre-tested on the current BP 2.0 or BL and post-tested on the updated BP 3.0 or BL 2.0. Instructional hours toward post-testing must follow the guidance for the individual assessment: o BP 2.0 and BL- 60 hours o BP 3.0 and BL 2.0- 40 hours Best Lit 2.0 IS AVAILABLE. Proctors must complete training in Brightspace. 40 hours Best Plus 3.0 is NOT available yet. BEST PLUS 3.0 UPDATE Should be available for purchase, use and training 10/1 40 hours for post test (must use same instrument) Must complete self-paced training BEFORE administering the test Free thru Cal up to March (then possibly in-house) Documentation of training TBD Not in LACES as a choice yet NEW! WORKKEYS TEST FOR ENTRY EFL ACT WorkKeys Applied Math and ACT WorkKeys Workplace Documents may be used for determining entry level. Approved forms are listed in LACES under NRS Approved assessments. Must contact ACT to get access to the new forms. A self-paced course is in Brightspace for Workkeys Administration. Enter the applicable WK tests under Assessments-ACT WorkKeys. Must enter scale score and date. EDITING CHOICE LISTS Reminders: Need to be consistent Use complete names of Institutions and Choices (no abbreviations) REPORT EXCLUSIONS You can exclude a student from post testing for a few select reasons. The student will still show on table 4 as a Participant but will not count against you for post-testing. Report Exclusion Reason (Demographics tab). Use the drop-down menu to select. Enter the Date of Death if the student is deceased. You will need documentation in the student permanent folder to verify Report Exclusion. Examples: Obituary. Please note: do not complete this if the student has already made a gain or other MSG. This is only if a student will not be able to post test, etc…, due to the Exclusion Reason. PRIMARY PROGRAMS REMINDER Please follow the OAE guidance. This information is used for reports that are shared with state partners and stakeholders. Proper placement helps to determine our students’ primary reasons for enrollment. Primary program can be changed after enrollment, as appropriate. All GED graduates should have the Program Adult Ed GED. Adult Ed should be used for individuals who already have a secondary credential (GED or diploma) or are not enrolled for the purpose of earning one. Examples: WIN/WorkKeys Only classes Vocational Rehabilitation (Voc Rehab should be secondary program) Transition services Preparation or testing that is not connected to a Workplace Literacy or IET program (Example: Accuplacer, ASVAB, or ParaPro prep) Not enrolled in ESL or Family Literacy SECONDARY PROGRAMS REMINDER Family Literacy students –Must have Family Literacy as Primary. All Family Literacy must have a Secondary Program based on their enrollment (GED/ESL, etc) –*This is only for those with the Family Literacy Grant. Vocational Rehabilitation Students must have Voc Rehab as their Secondary Program ESL Students who are also pursing a GED should have the Secondary Program Adult Ed GED (Primary Program –ESL). LAST SCHOOL ATTENDED For all 16-21 Year Old Students: Enter the complete name of the last school attended. Please do not use acronyms for the high schools. VirtualSC, Odyssey, and other online platforms are not schools. Wil Lou Gray and Youth Challenge are also not schools. It must be the name of the school that awarded the last units earned. If another adult education program is the previously attended school, only enter that if the student earned units through that program. Enter the city and state of the last school attended location. If out of country, only the country is necessary Student Unique ID is required for all 16–21-year-olds who previously attended a South Carolina public school. The Official HS transcript is a requirement for the student records. TRANSCRIPTS AND STATE ID/SUNS For 16–21-Year-Old Students: Transcripts and Student Unique ID (SUNS) are required for all 16-21 Year Olds with the exception of Workplace Literacy Students, or those who have a diploma or GED before entry. This is the 10-digit State ID from the Transcript, not the Student or School ID. Student Unique ID is required to be entered in LACES for all 16–21-year-olds who previously attended a South Carolina public school. It is helpful to not leave this field blank for this age group, please use the following in the Student Unique ID Field in LACES if you do not have the State ID available to enter: Graduate Requested (update with number when received) Out-of-State Out-of-Country Homeschool Private School Walk-In Tester IEP/504 AND TESTING ACCOMMODATIONS For IEP’s and 504’s, enter under the Specific Learning Disability. There is now an option in the drop down for Yes-Documented IEP or Yes- Documented 504. Please go back and update your records for this year and use this new feature going forward. This is found in the Demographics area under Disability of a student record. For Testing Accommodations. Please remember to add a Comment (you can create a Comment Type –Testing Accommodations in Agency- Choice Lists). Then add specific accommodations (such as time and a half). GOALS Family Literacy Goals Still optional for GED/HSD. –NOT pulled from goals for funding. GED is automatic under Education based on the entry of GED assessments. HSD is manually entered under Education. ***WRC will STILL BE ENTERED INTO GOALS. They are in the drop-down now. If you have already entered any into non-reportable, please re-enter under goals to receive funding. Enter WRC assessments under Assessments. FINDING ANY WRC ALREADY ENTERED INTO NON-REPORTABLE CREDENTIALS THIS YEAR Additional Drop Down, All Non-Reportable Credentials Filter by Non-Reportable Credentials -Starts With -WRC OR SC CUSTOM TRANSCRIPT UPDATES REMINDER You may now select Dual Enrollment when entering transcripts. CREDIT RECOVERY – Should be entered as follows: Example: English IV (initial credit) – Grade 55%; possible credits 1; earned credits 0 English IV (credit recovery) – Grade P; possible credits 1; earned credits 1 - Check the Credit Recovery box The original grade of 55% will be calculated into the GPA, the “P” will not be calculated into the GPA, and the attempted units will calculate correctly on the transcript.
