Work Hours
- Employees cannot edit their work hours on the 202 Form.
- Supervisors must enter the appropriate shift deviation code for any work hour changes.
- Employees utilizing Flex Time Accrual/Usage must enter all necessary information in the note section, including the reason for accrual and the name of the approving supervisor.
Flex Time
- Employees can request to use accrued flex time, which is earned based on management needs and entered by a supervisor.
- Flex time should be earned before it is taken, except in specific circumstances.
- If flex time is earned and taken in the same pay period, it should be scheduled at the same time.
Voluntary Shift Deviations
- Employees must obtain pre-approval from a supervisor for any voluntary shift deviation request.
- After pre-approval, employees must complete a Kronos entry using the voluntary shift deviation code.
- All necessary information, including original work hours, the name of the pre-approving supervisor, the reason for the shift deviation, and the RMS reference number, must be entered in the note section.
- Shift deviations must be entered in half-hour increments.
- Voluntary changes cannot result in overtime within the employee's regular work hours, except for outside employment details.
- Employees whose assigned work hours do not qualify for shift differential pay will not receive shift differential pay if their voluntary changes result in shift differential pay.
Overtime
- Employees working overtime must enter all necessary information, including the name of the pre-approving supervisor, the reason for the overtime, and the CAD/Case number, in the note section.
- A CAD/Case number alone is insufficient to justify overtime.
- Employees who cannot deviate their hours to reduce overtime must explain the reason in the note section.
- Employees working overtime that qualifies for double time pay are required to complete a paper version of Form 68P and submit it through the chain of command.
