Vehicle Maintenance Requests Policy
- Purpose: To establish a procedure for reporting vehicle maintenance problems.
- Effective Date: February 23, 2023
- Authority: Fire Rescue Administrator, CWO-O-035 (as amended).
- Scope: Applies to all Palm Beach County Fire Rescue personnel and reservists.
- Updates: Managed by the Deputy Chief of Support Services, in conjunction with the PPM Committee.
- Record Keeping: Fleet Maintenance has computerized records.
- Normal Business Hours: Fleet Maintenance operates from 0700 to 1800, Monday to Friday (excluding holidays).
Reporting Procedures

Apparatus Maintenance:
- Report requests through AssetWorks (detailed in Attachment A).
- After hours, contact the Communication Center for an On-Call Technician.
- Critical Issues: If a mechanical failure meets NFPA 1911 criteria (Attachment B), immediately take the vehicle out of service and phone the Battalion Chief. Park safely and turn off the engine. Report the issue to Fleet Maintenance via AssetWorks.
- Out-of-Service Vehicles: A Shop Foreman or Road Technician examines the vehicle to determine if immediate repair or replacement is needed.
- Repair Scheduling: Fleet Maintenance schedules repairs. Apparatus are not brought in for repair unless scheduled.
- Work Orders: No work is performed unless a work order exists (except for emergencies).
- Data Entry: Full details of the issue are entered into AssetWorks.
- Station Logs: Station logbooks record information and to whom the issue was reported.
- Repair Order Forms: Completed forms are copied and placed in an accessible location for all personnel.

Light Vehicle Maintenance:
- Staff vehicle maintenance issues must be reported to Fleet Maintenance during normal hours, or by calling communications for after-hours reporting, and reporting through AssetWorks.
