Procurement and Supply Cycle is a complex process involving several stages from initial need identification through to contract expiration. This cycle can last anywhere between two months to more than three years depending on what's being procured. Here we will discuss some of its key components including sourcing, negotiation, specifications, tendering, tender documentation, pre-contract, request for quotation (RFQ), market analyses, and strategy development.
Sourcing involves identifying suitable suppliers who could meet your needs within budgetary constraints. Negotiation follows where you negotiate with these potential vendors over price terms, payment methods etc. Specifications come next – this is a description of what you want the supplier to deliver along with any additional requirements like quality standards, delivery timelines etc. Tendering happens after negotiations - here you invite interested parties to submit proposals while simultaneously evaluating them based on their ability to fulfill the necessary criteria. Tender Documentation is simply documenting all aspects of the procurement process that occurred during the tendering phase. Pre-Contract refers to activities undertaken prior to entering into formal contracts with selected suppliers such as assessments, reports etc.
