Key Areas of Information Management
- Collection: Examining how a company gathers information, whether internally or externally, in various formats (electronic, paper, verbal, audio, video).
- Storage: Determining the storage locations for collected information, considering physical storage (cabinets, fire-resistant measures) and electronic storage (databases, document management systems, cloud storage).
- Distribution: Deciding how various information types are distributed, including format, recipient, frequency, and medium to ensure appropriate delivery. Efficient distribution is crucial for successful programs.
- Archiving: Securely storing inactive information (digital and paper) for long-term retention and future reference, or for legal and regulatory compliance. Clear archiving location and duration guidelines are needed.
- Destruction: Discarding information that is no longer necessary in accordance with regulations like GDPR, to avoid fines, penalties and reduce storage costs.
