Unloading of Goods
- Unloading registers record inward consignment details.
- Register includes invoice number and date, railway receipt number and date, station of origin, wagon numbers, owning railway, wagon type, carrying capacity, tare weight, floor area, number of packages, goods description, weight, railway markings, placement date/time for unloading, completion date/time, supervisor's signature, and remarks.
Checking Inward Invoices
- Destination station personnel check invoices against distance, class, chargeable weight, rate per tonne, freight calculation, and total freight.
- If less freight collected than due, undercharges are noted.
- If more freight collected than due, overcharges are noted and, if paid, refunded.
- Invoice details are recorded in an index registry and delivery book.
- Invoices kept at destination station as a record.
Re-weighment of Goods
- Re-weighing is done for damaged packages to ascertain shortages or calculate undercharges to prevent revenue leakage.
- 10% of received inward consignment is reweighed.
- Reweighment entries recorded in register.
- Excess weight results in undercharge collection; less weight results in overcharge refund.
- If all packages have similar weight, 10% are reweighed. Otherwise, packages grouped by size/weight, with 10% from each group weighed.
- If requested, wagons are weighed on weigh bridges, and charges collected according to wagon type (8-wheeler BG wagon: ₹7500/wagon; 8-wheeler MG wagon: ₹1500/wagon).
Damage and Deficiency Post Card (DDPC)
- DDPC is a printed card used for reporting damaged/deficient goods.
- Issued on same day of unloading, addressed to last station, with copies sent to relevant stations, GRP, and RPF.
- Essential data recorded on the DDPC: station issuing it, date/time, wagon number, owning railway, wagon type, description of seals, total packages, damaged/deficient packages, reweighment weight, wagon type, RPF number.
- Station master signs and stamps DDPC.
- Record noting of DDPC issued in register.
Damage and Deficiency Message (DD Message)
- Sent as a telegram within 6 hours of opening the wagon when packages are short/excess/exchanged.
- Contains information on station, date/time, wagon number, owning railway, wagon type, description of seals, total packages, short/excess/exchanged packages, wagon weight, and RPF number.
- Remark on DD message register noting issue.
- Damage/deficiency classified based on estimated loss (D1 ≥ ₹5000, D2 ₹2000-₹5000, D3 < ₹2000).
- If all seals intact but packages damaged/missing, message called "NIKOLO MESSAGE".
Wagon Transfer Register (WTR)
- Records date/time of wagon placement and release for unloading.
