## Microsoft Publisher: Introduction ### 4.1 Microsoft Publisher: Introduction Microsoft Publisher 2016 allows you to create a publication. Within a publication, you can create and modify texts and graphic objects that allow you to create dynamic fliers, postcards and business cards, to perform mail merges and to prepare your projects for printing. ### 4.2 The First Screen |Number | Item | Description | |---|---|---| | 1 | Title Bar | Runs across the very top of the window. The name of the publication you are working on will be displayed here. | | 2 | Ribbon | The main tool in Publisher. This object allows you to perform all of the commands available in the program. The Ribbon is divided into tabs. Within these tabs are different groups of commands. | | 3 | File Tab | Within the Ribbon is your access to the Backstage View. In this view, you can perform all of your file management functions. | | 4 | Quick Access Toolbar | Is located above the Ribbon by default. You can also place it below the Ribbon by clicking the Customize Quick Access Toolbar button at the right end of the toolbar and then selecting the Show Below the Ribbon command. | | 5 | Touch/Mouse Modes | With the increased use of touch screen computers, tablets and smart phones, Publisher was redesigned in 2016 with a new mode to allow easier access to the buttons and other commands within the Ribbon and Quick Access toolbar. This mode is called touch mode. | | 6 | Scroll Bar | Will appear both vertically and horizontally along the right and bottom sides of your publication page. They have arrows at each end that point in the direction in which they will scroll the page when you click on them. | | 7 | Page Layout View Buttons | Depending on the type of publication you are creating in Publisher, you may want a one-page or two-page layout to be displayed on screen. | | 8 | Zoom Slider | You use this in order to change the magnification level of the pages in your publication. | | 9 | Publication Page | This is where the modifications you apply to your publication appear. | | 10 | Rulers | The bar within which these tools appear is called the Status Bar. Here, you can see various statuses monitored within Publisher | | 11 | Page Navigation Pane | Where you want to insert the building block | ### 4.3 How to Change the Publication Template Publisher allows you to change the template used by a publication in order to switch its layout and page design. This can be useful when starting from a blank page design so that you can then change the blank page template to a selected type of publication template prior to adding text and pictures. ### 4.4 How to Save Publications When you save a publication for the first time, you must use the Save As command so that you can choose where to save the file and what to name it. ### 4.5 How to Close Publication If you have multiple publications open and you would like to close one of them, click the **x** in the upper right corner of the application window to close the current publication. Clicking the **x** is equivalent to executing the Close command in the File tab. ### 4.6 How to Insert, Move and Delete a Page #### A. Inserting a New Page When you are creating your publications, you will often need to add pages to add more content, especially if you are creating a new blank publication from scratch. Before you insert a page, you will most likely want to select the page in the Navigation Pane that is immediately before the position at which you want to insert a new page. Click on Insert, then Page. It is possible to insert pages before a selected page, and they are more commonly inserted after a selected page. #### B. Moving Pages You can easily reorganize the pages within a publication by simply clicking and dragging pages up and down within the Navigation Pane. You can click and drag the pages shown within the Navigation Pane to the desired page location and then release it when it is in the correct position. #### C. Deleting Pages You can delete publication pages by selecting the page to delete within the Navigation Pane. Then, click the Delete button in the Pages button group on the Page Design tab within the Ribbon. ### 4.7 Basic Skills #### A. Inserting a New Text Text boxes are used to display a text within a publication page. To insert a text box, follow the steps below: 1. Click the Draw Text Box button in either the Objects button group on the Home tab or the Text button group on the Insert tab within the Ribbon. 2. You can also modify the format of your text by using the Font tab option and Paragraph tab option located in the Home tab. #### B. Inserting Shapes Publisher allows you to insert various shapes into your pages. 1. Click the Shapes button in either the Objects group on the Home tab or the Illustrations group on the Insert tab within the Ribbon. 2. A dropdown menu of all of the various shapes you can insert will be displayed. Hover your mouse pointer over the shape you want to insert and click on it to select it. #### C. Adding a Text to Shapes You can add a text to any shape you have drawn within a page. When you do this, Publisher will convert the selected shape to a text box. However, since you have many shapes at your disposal you can see that a text box does not have to be a literal box shape. Using this technique allows you to create text circles, text triangles and many other types of text-containing shapes. ### 4.8 How to Insert Pictures #### A. Inserting Pictures Saved Locally on Your Computer You can insert pictures that you have saved on your computer into your publications. **Note:** Ensure that you know within which folder on your computer the picture that you want to insert is located. You will need to know this information in order to locate and then insert the picture. 1. Click the Pictures button in the Illustrations group on the Insert tab within the Ribbon. 2. From the folder, select the picture you desire to add. #### B. Inserting Online Pictures One of the most useful and fundamental functions of Publisher is that it allows you to add pictures into your publications in order to enhance their appearance. Publisher allows you to search online for a picture using Bing Image Search or to choose a picture from your One Drive. 1. Click on "Online Pictures" in the "Insert" tab. 2. Choose where you want to fetch your image from. #### C. Inserting Pictures Placeholders A picture placeholder allows you to allocate space on a page for a picture you can insert later. To do this, click the Picture Placeholder button in the Illustrations group on the Insert tab in the Ribbon. A picture placeholder will automatically be inserted into your page. You can then move and resize the placeholder as desired. ### 4.9 How to Insert WordArt WordArt is text that is created and formatted as if it were a shape. Therefore, you can use many of the same formatting techniques and styles that you use when formatting shapes in order to also modify WordArt. 1. Click on "Word Art" in the "Insert" tab. 2. Choose the Word Art Style you want. ### 4.10 How to Use Building Blocks #### A. Creating Building Blocks Building Blocks allow you to create reusable content you can insert in your publication pages. For example, you can save your company's logo and name as a custom building block that you can insert into future publications without having to recreate all of the content and related formatting. 1. Right-click in the element you'd like to save a building block and select Save as Building Block. 2. In the Create New Building Block dialog, enter the information about the building block: - **Title:** Create a name for your building block. - **Description:** Add an optional description of the building block's purpose. - **Gallery:** Decide which of the five galleries your building block will live. - **Show in Gallery:** Check this box to make the building block available in the gallery. - **Category:** Select a pre-built category for the gallery or type in a new category name. - **Keywords:** Enter your own keywords to make searching for building blocks easier. #### B. The Five Galleries The five galleries contain: - **Page Parts:** Pre-formatted structural elements for your publication such as headings, sidebars and stories - **Calendars:** Pre-formatted monthly calendars. You can select the current or the next month from the gallery, or select the month and year from the gallery from the Building Block Library. - **Borders & Accents:** Graphic elements such as borders, emphasis and frames - **Advertisements:** This gallery is for pre-formatted advertisements elements including coupons. **Let's practice!** Insert a building block from a gallery in color pink. 1. In the Page Navigation pane, select the page in your publication where you want to insert the building block. 2. Click on Insert tab and click the building block group you'd like to use. 3. Scroll to find a building block or click on gallery name to open the Building Block Library. 4. Click to the building block and then move and resize it to fit your need.
