Shift Reporting Shift Reporting is a mandatory process that serves multiple purposes some of which may not seem obvious. The shift reports have a section at the beginning which when followed can prevent oversight of key items such as signing of RAMS, operative inductions, etc. For a project that runs over an extended duration, there might be a close out meeting where a final account value is being negotiated. The client might have a different opinion on what happened at a particular time. The shift reports may bring up something to substantiate our claim. A common example on previous projects might be an incident on a site resulting in some down time. Sometimes these discussions can happen months later and people may no longer be in the organisation or their memory can’t recall the events. This is where the ability to recall a shift report for that particular day proves invaluable. I have had examples where a simple report that took a few minutes to prepare was pivotal in getting a variation worth tens of thousands agreed by the Client. Another example might be if there was an accident or claim against us. From your SSSTS/SMSTS training you should already be aware of the requirements under CDM to brief the operatives of their duties and our responsibility to keep them safe. We are also required to maintain records of what happens on a daily basis so this tool provides a means of doing this. The shift reporting tool has been specifically developed for Intrelec to stream-line this process and make it simple to use so there is no excuse not to. Another example is if someone is off sick and another supervisor needs to provide support for a project. A glance over the previous shift reports should be able to give an indication of how the job is going and what activities have been planned. It can also be useful where someone is absent but later claims that time on a timesheet. If the shift report has recorded their absence then there should be no doubt that the timesheet is incorrect. Sometimes it is not obvious whether a job is complete and ready for invoicing. When this checkbox is ticked, the shift report is sent to accounts to action so please remember to check this when finished. We need to ensure that a shift report is carried out for each site on a daily basis. Material Requisitions The management of materials is an important process within the business and somewhere that we lose a lot of money. Planning for required materials should be done so that we are able to get materials delivered ahead of time so that they do not impede the works, but not too early so that we are paying for them and providing unnecessary financing for our Clients (cashflow). On larger projects, Warranties also need to be considered. If some materials are required on the day, we may be able to use Screwfix Sprint via the app. Where possible with respect to lone working and manual handling, only 1 operative should leave site to collect materials. Common sense must be used to identify the time of least impact. A requisition should be made on the Intranet to ensure that we have traceability. This is done here: https://intranet.intrelec.co.uk/requisitions.php 3. Inspections We must ensure that inspections are carried out at the required times to comply with LOLER and PUWER regulations. These include; Ladders Podiums MEWPs Vehicles Scaffold Towers PAT Testing This is not exhaustive. Refer to your CITB documentation for more detailed reference. 4. Certification We need to ensure that all jobs are correctly certified. Once a certificate has been issued, it should be downloaded and stored in the Certification sub-folder in the Project folder. If you do not have access, email it to your line manager. On Domestic projects, we need to notify the Local Authority Building Control and provide a summary of the work carried out and the associated certificate number. This is done through the NICEIC Portal. Currently we are the NICEIC Online Platform for Certification and this can be accessed using the login details already sent to you. Progress Reporting In addition to shift reports, progress reports can provide a great tool for capturing project details where milestones have been achieved or delayed and issues logged. This can be particularly useful in extension of time requests and/or final account valuations, where the causes of schedule slippage have been reported in good time. 6. Job Closure Ensuring a job is closed out properly is an essential process that needs to be followed. This allows us to capture any items that may have been over-looked such as; Off-hiring of plant Pricing variations Closing out snag lists Obtaining Completion Certificate The Project Manager (or Site supervisor on smaller jobs) should follow the Job Closure process but we must all play our part to ensure a smooth process. Ultimately the closure stage is the final experience our Client has of our organisation. A challenging project that may have gone badly can have a positive outcome when this part is managed well. 7. Technical Support When you are faced with an issue and require technical support, as Supervisors, our expectation is that you should attempt to resolve this by yourself where possible. Through our memberships with NICEIC and ECA, we have access to technical support via the helplines and we would encourage you to try this first before contacting your manager. Toolbox Talks We need to carry out regular toolbox talks and keep records of doing so for our various accreditations. These are a great way to raise awareness of job specific hazards on a new project, seasonal changes affecting how we work or refresher training, etc. We have a range of existing toolbox talks already, but feel free to suggest others. 9. Employee of the Month scheme We want to develop the employee of the month scheme which has been ad hoc to date.
