Project Communica tion SUBTITLE Project Life cycle and communication 2 Intro All activities associated with a project fall within its life cycle, sometimes only once but usually a number of times including the development and maintenance of a communication plan While it may be seen as the soft functions of a project management, communications is nevertheless one of the most important if a project is to successfully achieve its desired outcomes During the initiation phase of a project lifecycle, communication requirements are established and are then translated into detailed communication plan which is integral to the project management plan development 3 Fundamentally, effective scoping, scheduling, responsibility assignment matrix and so on are rendered ineffective if not communicated to and acknowledged by the key players in the project in a timely and effective manner. Each phase in the project life cycle brings its own communication management requirements 4 Initiation The inputs are an understanding of stakeholder expectations for communication Which are predicated by project complexity, importance to the organisation, number of participating agencies As scope is defined, the overall duration, number of phases and levels of parallel activity will all help define regulatory of communication 5 Planning If it’s a major project a communications plan will be developed while for minor projects a few paragraphs in the project plan supported by communication chart will suffice Inputs are specific, for instance how regularly the design team will need to meet with user groups and how often during testing reports will be required. 6 Execution PM needs to be in control and if there is no communication control will fail PM must be across not only the internal environment, but ensure links remain active for a two way information flow with the external environment 7 Closing Review of communication effectiveness and lessons for improvement May require handover to operations of either the communication structure surrounding the project solution itself Or of the project communication system to operations for post project reporting of operational effectiveness 8
