Moving from Traditional to Automated Systems 1 Before computers Libraries as stores of books and documents. Circulation is almost the only service provided. Records are used to store information about the library. Limited cooperation within libraries. 2 Computer features: Speed Accuracy Ability to store and retrieve information Communication and information transfer Multi uses 3 Why need computers in libraries? Cope with the increase of information resources Change in the need of information Focus on information instead of documents Enhance the performance of technical services Improve the public services Speed and accuracy in storing and retrieving information Benefit from information centers, databases and internet 4 Continue Facilitate cooperation among libraries Reduce duplications Save time for librarians Save space Provide online access to catalog 5 Why need a new system? The current system may no longer be suitable for its purpose. Technological developments may have made the current system outdated. The current system may not be flexible. Maintain and upgrade the current system is expensive. 6 Components of automated systems It has several sub systems: - Acquisition including periodicals control - Cataloging - Circulation - Information retrieval - wedding and other services 7 Requirements for introducing integrated systems in libraries Skilled and trained human power Basic infrastructure (internal network) Sufficient budget software 8 Steps to adopt integrated system Define the system goals Feasibility study Specify operating requirements Define the system features Select the appropriate system Operating, developing, and training Evaluation and maintenance 9 Define the system goals Define the priorities of moving to integrated system Define the services to be included in the system 10 Feasibility Study - Study the current system (weakness, strength) - Technical feasibility: the current technology help to develop the proposed system, or we need a new technology - Economic feasibility: does the proposed system economically effective? - Legal feasibility: is there any contradiction between the proposed system and the existing rules? Data saving and protection - Operational feasibility: does the current practice align with the requirements of the proposed system? - Schedule feasibility: how long will take to develop the new system? can we develop it in the required timeline? 11 Specify operating requirements - Budget - Human power - Infrastructure - Software 12 Define the system features - Features of service or sub-systems - General features of the system 13 Select the appropriate system - Interaction between the sub-systems and the whole system - Accommodate all types of information resources - Flexibility (can be modified and developed) - Accommodate a huge amount of data quickly 14 Continue - Different levels of information security - User interaction with the system, locally and remotely - Availability of technical support - Can interact with other information systems 15 Operating, developing, and training - Make data ready to be moved in a readable form - Collect data and convert them in a readable form - Train staff to use the system - Train users - Operate the system and evaluate it (Test) 16 Ways of moving the new system Test moving in a small group Step moving (according to stages or services) Parallel moving (using both systems for a period of time) Direct moving 17 Evaluation and maintenance Get users opinions and their comments and evaluation Evaluate the system as a whole and also the sub- systems in separate Make any corrections or developments if needed 18 checklist when preparing and operatingthe system Full and detailed description of the system Timeline for preparing, moving and operating the system Requirements of the location (place) Training for staff and users Continues financial support Plans for system development 19 Ways of developing libraries’ systems Develop local system Ready systems -The library has to check if the system is appropriate to it requirements Turn Key System: -The company will do all the steps needed Network Sharing System 20 Outcomes of using integrated systems Provide service to a larger users Accommodate a hug amount of information Make the catalog available online Improve the cataloging service Save staff and users time and efforts 21 Continue Reduce records size Spread of digital libraries Improvements in reference service and information retrieval Spread of information networks 22 You have been Asked to introduce a new Grading system to College of Arts and Science, what are the responsibilities you will take? What are the steps you will follow? what are the main differences between web and mobile/computer applications 23 Assignment #1 (10%) Assume you are working as a systems analyst in any organization, and you have been asked to lead a team working in the process of Moving from Traditional to Automated Systems, prepare a complete scientific report for that purpose including the following steps: Define the system goals System Components and the types of integration System Services including subsystem Functions Types of People intend to use it and procedures Explain the Expected System challenging Identify the system features List System software (OS, DBMS, GUI platform …) Evaluation and maintenance Note: the report should include figure, charts, tables etc.… Note: Scientific style and creativity are required Note: Submission Deadline is 1/11/2024 24 Formatting The Font style for the whole document is Times New Roman.
