Office 2016 has provided access to OneDrive for us to conveniently work our files wherever and whenever. OneDrive is a file-hosting service from Microsoft that offers cloud space for us to store and access our Let’s Discover! Cloud storage offers us data storage on the internet, giving us access to their data anytime and anywhere. We can also use it to collaborate with others by accessing the same files online. A cloud computing provider manages and operates data storage. OneDriv e We can also use its online version where we create, edit. share, and store our office files anytime at any place with internet connection. HOW TO CREATE AN ACCOUNT IN ONEDRIVE? —MS OFFICE Create a OneDrive Account A OneDrive account is required to use its services. To create an account, let us do these steps: 1. Type in "onedrive" on the search bar of a web browser, Choose the first item from the result that is Personal Cloud Storage—Microsoft OneDrive 2. We will see the home page as shown below. 3. Choose sign in. 4. Choose Create one! to make a OneDrive account. When creating a new account, we may use our email address from other email service providers or create a new email address in MS Outlook. To use our email address, we input the email address. then click Next. However, to create a new email address, click Get new email address. We then click next and input the information based on the instructions. Did you know? Smart Lookup displays all the related results from the web. However by Choosing More, We can select Our preferred source or type of information that can be from the web, media, help, notes and files. OneDrive Interface The simplicity of its interface makes it easy to locate the tools and files that we need. Let us explore the parts found on the next page to be familiar With them. Upload and Create Files When uploading our files, we click Upload and Choose Files, There is also an option if we wish to upload an entire folder. When creating a document file, We click New and choose “Word document. It will then open Word Online in a Share Files When sharing our files, we select the file and click the Share button on the menu. A similar window like the one on the next page will, show on our screen. We have the option to gat a copy of its link or share it via email. By checking the Allow editing option, other people can modify the document we have shared. In the example below, the user wants to share the file Sports Event Flyer, The file name is enclosed in single quotation marks. Real-Time Coauthoring We can share and edit our documents with others directly from Word 2016. Note that our files are stored in OneDrive, To dc so, we follow these steps: 1. Click the Share button found at the upper right of the window. 2. Invite people by creating a new contact in the Address Book. And add them in the Message Recipients, Click OK, In the example below. the user only added one recipient. 3. On the Share pane, we will see the email address of the recipients. We can also add a personal note to them. 4. After sharing, the Share pane Window Will show the list Of people Who have access the document file. 5. AS we edit, we can see others who are currently editing the document. The Colored flags determine which part of the document that each person is in. We can also chat using Skype while working on a document. 6. We can view the changes and works of everyone in the document by clicking the Activity button, Comments Adding notes on a part of a document can be done using comments. This way, we can state our suggestions and respond to other comments without interfering with the content of the document. We use these commands in the Comments group: 1) New Comment is, used to give our comments on a portion of the document. There are options below the comment where others may choose to reply or resolve the comment. 2) Delete is used to remove the comment, 3) Previous and Next are used to view the comments in a document, 4) Show Comments is used to show hide all in a document. Cloud-based services such as OneDrive are designed to benefit us. However, hackers target these kinds of services. As users. we must find ways to protect ourselves and to using it responsibly, One good practice is to use strong passwords. Another way is to upload files meant to be shared and would rot cause harm to ourselves and others. When working with others, we must practice netiquette. When we collaborate, we must increase our productivity and bring ourselves toward self-development.
