Responsibilities of Nazim (Phase 1: Pre-Departure to KSA)
- Nazim must be proficient in complaint management and mobile applications for Hajj pilgrims.
- Nazim needs knowledge of various offices involved in Hajj operations (e.g. Ministry of Religious Affairs, OPAP, Maktab in KSA, Director Moavineen, Hajj Medical Mission, Lost & Found, HGOs, Airport facilitation desks). This includes understanding their functions and responsibilities.
- Nazim must analyze group demographics (males, females, senior citizens, children, dependents, those needing assistance) to assist with group preparation.
- Create a WhatsApp group for Hajj group members, sharing updates and providing answers to queries.
- Hajj group members should share their contact details with next of kin for emergencies.
- Identify and train a team of 10+ pro-active leaders (male/female) to assist in coordination during the Hajj journey.
- Provide training to Hajj pilgrims on operational matters with emphasis on senior citizens, females, and children.
- Ensure vaccinations and issuance of vaccination cards for all pilgrims.
- Provide a pre-departure checklist that includes travel documents (passport, visa, air ticket, Haji ID card, mobile SIM, vaccination card) and reminding of any discrepancies to report them immediately.
- Arrange for packing and distribution of medicines.
- Advise on timely travel advisories and reminders to avoid no-shows.
Responsibilities of Nazim (Phase 2: Travelling to KSA)
- Nazim must be proficient in basic Arabic for communication.
- Accurately obtain and share hotel/accommodation details in KSA with identified group leaders. Ensure that the correct hotel location is shared correctly to avoid miscommunication and potential issues.
- Provide timely updates to OPAP, Airport Assistance Desk and MCO about pilgrim departures.
- Guide pilgrims to buses at the airport, coordinate with group leaders, prioritize senior citizens, females, and children, and ensure suitable accommodations.
- Ensure operational readiness of buses (air conditioning, essentials).
- Get contact numbers from all relevant transport personnel to ensure sufficient coordination for the pilgrims.
- Ensure all pilgrims have Maktab identification cards before departure to maintain efficient coordination and to track Hujjaj.
Responsibilities of Nazim (Phase 3: From the end of Salawat Transport to Hajj Move)
- Ensure all pilgrims receive necessary documents (NUSUK cards, Mina/Arafat tent cards, train tickets, Qurbani details) on time before the Hajj move.
- Establish contacts with multiple Maktab representatives for coordination.
- Ensure adequate space is available at Mina and Arafat campsites for all pilgrims.
- Coordinate with relevant authorities (sectors, MCO) to confirm sufficient space in tents.
- Advise pilgrims on luggage limitations and advise them to carry only essential items during the Hajj movement.
Responsibilities of Nazim (Phase 4: Post Hajj Return)
- Obtain and share pilgrim departure schedules with the Hujjaj for returning to Pakistan.
- Inform pilgrims about the return schedule well in advance, especially those returning early. Inform pilgrims about requirements for Tawaf-e-Widaah.
- Provide reminders and notices regarding luggage limitations, weights, and city check-in timings for airport transfers.
- Disseminate guidance on necessary preparations for travel to Madinah, especially related to passport/Visa/Luggage, and any necessary appointments.
- Address any further needs or questions from the pilgrims before departure.
