PowerPoint 2016 for Windows - Introduction
- PowerPoint 2016 is presentation software for creating professional, impactful, and dynamic presentations.
- Slides are the fundamental building blocks of a PowerPoint presentation.
- Visuals (slides) are equally important as the speaker's content.
Best Practices for Creating Presentations
- Structure: Identify critical information, use no more than six bullet points per slide, construct concise bullet points (incomplete sentences are acceptable), and minimize the number of font types. Maintain consistent font sizes.
- Visual Design: Avoid using all uppercase text. Use contrasting colors (light font on dark background or vice versa) to make important words stand out; avoid italics, and maintain consistent visual appearance across slides. Employ appropriate visuals (graphs) in place of textual data where possible. Remove unnecessary graphics.
- Font & Colors: Use consistent font sizes and colors across all slides. Avoid overly bright colors; keep graphics and transitions to a minimum.
The Microsoft PowerPoint 2016 Interface
- The PowerPoint interface has undergone recent changes.
- The Ribbon is a panel with functional buttons and drop-down lists organized by tabs to complete tasks quickly.
- The Quick Access Toolbar is a small toolbar with customizable buttons for frequently used functions.

The Smart Lookup Tool

Galleries
- PowerPoint 2016 Galleries are collections of pre-defined formats for applying to presentation elements (e.g., Themes).
- Mini Toolbar: A semi-transparent toolbar that appears when text or other objects are selected, providing formatting options.
- Status Bar: Shows current slide number, total slides, speaker notes, and user options. The status bar in PowerPoint is customizable
Themes
- Themes are formatting options applying to presentations to provide a unified and professional look.
- Themes include colors, fonts, and effects. Applying a Theme shortens formatting time.
- Users can select a theme within the Design tab.
The File Tab (Backstage View)
- The File tab provides central access to file management (open, create, save, share, print, convert to PDF, email, publish).
- It also allows for viewing document properties, setting permissions, and managing different versions of a document.
Navigation
- PowerPoint’s opening screen (Normal View) includes the Slides Pane on the left, displaying available slides.
- Slides Pane: Allows navigation through slides (reorder).
- Slide Preview: Allows reviewing slide content (animations, graphics, audio, text preview etc)
- Notes Pane: A pane for taking personal speaking notes for the presenter that don't print out or appear in the presentation.
Changing Views
- PowerPoint 2016 offers various view options.
- Users can change between views in the View Tab. Using shortcut buttons on the status bar is also an alternative to changing view modes.
Types of Views
- Different view options include: Normal, Slide Sorter, Notes Page, Reading, and Slide Show Views.
How to Create a New Presentation
- Access the File tab to create a new presentation.
- Choose New, then a blank presentation template.
How to Save a Presentation
- Use the File -> Save As menu to save with a different name.
- Select a local drive, folder, and file name.
- Choose a presentation format (e.g., PowerPoint 2016/2013, or the older 97-2003 format)
Adding a New Slide
- Select the slide that follows the placement of the new slide in the Slides Pane.
- Click New Slide (on the Home Tab/Ribbon) to display multiple slide layout choices.
- Select the desired layout.
Entering Text
- Placeholders on slides allow text input.
- Placeholders can be repositioned and resized.
- Remove unwanted placeholders by selecting and deleting them.
Adding a Text Box
- Open the Insert tab.
- Click Text Box.
- Click on the slide location to add the box.
- Drag to create the desired box shape.
- Input the text.
Formatting Text
- Select text to format (i.e. by highlighting).
- Use the Font group on the ribbon or right-click to bring up the mini toolbar formatting options.
- Click outside the text box to apply formatting changes.
Inserting Pictures
- Access the Insert tab.
- Search for a picture or phrase in the Insert Pictures window.
- Choose the desired picture/clipart image and insert it into the slide's desired location.
Inserting a Shape
- Access the Insert tab.
- Click Shapes to select the desired shape.
- Drag to create the shape on the slide in the desired location.
Altering a Shape
- Select the shape using the mouse click and select the object.
- Use the Format tab for adjusting the shape's look.
- Apply desired style using the Shape Styles group.
Hyperlinks
- Create hyperlinks by selecting text > Insert > Hyperlink
- Type in a website or file address
- Click OK to apply
Adding a Header or Footer
- Access the Insert tab.
- Select Header & Footer.
- Choose location(s) where header/footer will appear.
- Insert desired data/options in the footer/header area.
- Click "Apply to All" to apply to all slides if needed.
Printing Your Presentation
- Access the File tab.
- Select Print.
- Specify the number of copies.
- Choose your printer.
- Click Print.
