- Managed access is the process of defining relationships in the system to determine who has access to what patient data.
Essential Components of Managed Access
- User (EMP): Represents an individual who interacts with the system, including providers, nurses, technicians, and administrative staff.
- Patient Group (PGP): A collection of patients associated with a specific user. Users can access records of patients in the groups they are associated with.
- Provider Group (PGP): Groups of providers who practice together, like providers in a clinic.
- User Context Value: A value from the User Context Category list (Category data type 22210 in the PGP Master file), connects User, Patient, and Provider Groups, ensuring consistent managed access across these records.
How Managed Access Works in EpicCare Link
- When a user logs in to EpicCare Link, the system checks the user's context value.
- The system identifies all patient groups with the same context value.
- Patients in those identified groups are loaded into the user's patient list.
Building Managed Access Records
- Create a unique user context value in the User Context Category list.
- Build a provider group, including providers in the group, and assign the user context value.
- Create a patient group, add patients, and ensure the user context value and relevant provider group are assigned.
Example: Setting up Access for Dr. Randy
- Dr. Randy who works at the Badger Clinic is assigned the "TRN## Badger Clinic" User Context value.
- A Provider Group "TRN## Badger Clinic - Provider" is created with Dr. Randy as a member and assigned the "TRN## Badger Clinic" User Context value.
- A Patient Group "TRN## Badger Clinic - Patient" is created with patients seen at the clinic, the user context value "TRN## Badger Clinic" and the linked provider group "TRN## Badger Clinic - Provider."
