Security Guidelines for Building Keys
- One Grand Master key, one sealed Override key, and one Master Fob are kept in a locked key box in the office of the Police Service Aide (PSA) Supervisor.
- Personnel are not allowed to duplicate keys issued to them, as keys are the property of the department.
- The Grand Master Key may be used by employees upon notification to the division/section commander or administrator, and must be signed out on the key log with a documented explanation.
- The Override key is only to be used in emergency situations and is stored in a secure evidence bag sealed and signed by the Chief or one of the Assistant Chiefs.
- Use of the Override key requires notification to the Chief of Police or one of the Assistant Chiefs if the evidence seal is opened.
- The Master Fob provides access to all fob accessed doors within the Police Building, except for the Internal Affairs Section and secure areas of the Evidence Section.
- Fob use requires notification to the division/section commander or administrator, and must be signed out on the key log with a documented explanation.
- On-duty Police Service Aides are responsible for checking the key box and ensuring all keys are accounted for.
- Vehicle keys are returned to the on-duty Police Service Aide as soon as possible.
- Fob access is controlled by the Purchasing Section, while the Administrative Assistant, Secretary, or Civilian Supervisor of each division/section within the Police Department controls keys to each office.
- Keys to sensitive areas are only utilized during off-duty hours in emergencies, such as fire.
- Vehicles, lockers, desks, and filing cabinets are property of the Police Department and may be inspected at any time by a supervisor in the member's bureau in their presence.
