Study Notes
Excel Worksheet Basics
- An Excel worksheet enables easy data summarization and charting.
- A requirement document includes a needs statement, data sources, calculations summary, and specific needs like charting and web support.
Creating Effective Worksheets
- Understanding requirements is the first step in creating an effective worksheet.
Cells and Active Cells
- A cell is the intersection of a row and a column.
- The active cell is highlighted by a heavy border, shows references in the name box, and features gold-colored headings.
Text and Data Entry
- Text is used for worksheet titles, column titles, and row titles.
- To cancel a cell entry, press the cancel box or escape key.
- Complete an entry by hitting the enter box or by using the arrow keys or tab key to move to the adjacent cell.
Indicators and Features
- The insertion point is a blinking vertical line showing where the next character will be typed.
- AutoCorrect works in the background to fix common mistakes when entering text in a cell.
Default Formatting and Numeric Types
- By default, text in a cell is left-aligned.
- Excel recognizes numbers as any characters: 0-9, +, -, (), , , /, . , $, %, E, e.
- To enter large numbers succinctly, instead of typing 6,000,000,000,000,000, use 6E15 (which means 6 x 10^15).
Ranges and References
- A range is two or more adjacent cells in a column or a rectangular group of cells.
- Ranges are separated in formulas using a colon.
- To enter a number as text, use an apostrophe.
- The source area (or copy area) refers to the cell being copied.
- A relative cell reference adjusts based on the position of the copied cell.
Auto Fill and Formatting
- The Auto Fill Options menu lets you choose how to copy values between the source and destination areas.
- The fill handle is a black square in the lower-right corner of the active cell's border used for autofilling.
Formatting Best Practices
- Formatting helps emphasize entries and enhances worksheet readability.
- A general rule is to use no more than two fonts in a worksheet for clarity.
- Use ctrl + b for bolding text.
- Cell Styles can be found in the home tab under the styles group.
Number Formats
- Accounting Number Format displays numbers with two decimal places, aligning them vertically.
- Comma Style format shows numbers with two decimal places and uses commas as thousands separators.
Navigation and Charting
- To navigate to cell A1, use the shortcut ctrl + home.
- Excel features 11 chart types, with an embedded chart appearing on the same worksheet as the corresponding data.
Chart Elements
- A chart legend identifies colors assigned to each data series in a chart.
Workbook Properties
- Standard properties of an Excel workbook include author, title, and subject, linked to all Microsoft Office documents.
